Position Summary:

UAA Shared Services is seeking applications for one or more HR Coordinators to be a part of the Shared Services team. The successful candidate must have great customer services skills, highly motivated, ability to multitask and willingness to learn.

Duties:

Oversee electronic timesheet processing for divisional employees: set up timesheet approver/supervisor in Banner, provide time entry training, guidance and reminders, process late and revised timesheets, and serve as FYI. Work with directors to write position descriptions for new positions, revise existing position descriptions. Support and/or serve on search committees, develop screening documents and job postings. Provide guidance to supervisors regarding the performance review process.

Serve as the point of contact between divisional units, Human Resources, and the Office of Academic Affairs, regarding compensation and personnel issues involving faculty and staff. Answer questions about HR processes. Draft requests from the directors and/or deans for provost to obtain approvals for recruitment, faculty hires, retention offers and other actions involving faculty. Process term faculty renewals and non renewals through HR and OAA per HR, BOR and CBAs. Complete job forms or EPAFs for faculty on/off contracts, promotions, sabbaticals, LWOP, FML, terminations and other compensation and personnel actions per HR, BOR, and CBAs. Issue appointment letters and insure compliance with two separate collective bargaining agreements (CBAs). Attend divisional staff meetings. Attend regular HR trainings and information sessions to stay current.

As Human Resource Coordinator for assigned TKLs, oversee all Human Resources related actions such as recruitment, hire, and ongoing employment related actions and processes for all employment classes -Act as point of contact between search committees, directors, deans, Human Resources and other department heads regarding proper recruitment procedures and approvals. Create and maintain position descriptions and recruitments and serve as point of contact for coordinating approvals through the appropriate authorities. Assist search committees with the recruitment process. Request market salary information for faculty hires and complete experience profiles for salary negotiation purposes. -Insure timely completion of human resource hire paperwork for all employee classes. Set up Glacier accounts for international hires to gather foreign national tax information. Assist with obtaining approvals for employees working outside Alaska. -Onboard new faculty by connecting them to CAFÉ and HR Benefits NEO. Process relocation allowance requests and check pickup. Answer new employee questions about parking permits, Wolfcard, and other services.

UAA Shared Services is the primary source for trusted, high-quality, and customer-friendly administrative services. Shared Services delivers a variety of administrative services to support the university’s teaching, research, and public service missions. This position specializes in Human Resources administrative activities that support a variety of academic and administrative university departments.

 

This position is physically located at the UAA campus in Anchorage, Alaska. While there may be a current opportunity for temporary remote work due to COVID, applicants should be prepared to work fully on campus, remotely or possibly a hybrid of both depending on the needs and operations of the university.

Knowledge/Skills/Abilities:

  • Excellent written and verbal communication skills.
  • Knowledge of database software such as Excel and ability to create basic database, input data and create reports.
  • Excellent interpersonal and public relations skills to work well with a diverse population.
  • Must be able to work independently and be proactive with a high degree of reliability, accuracy and productivity.
  • Excellent organization detail and prioritizing skills with the ability to multitask and work under the pressure of constant deadlines.
  • Demonstrates the ability to maintain productive working relationships and effectively address complex and sensitive administrative issues.
  • Demonstrated ability to be successful in a team environment, to think analytically through complex HR and business issues.
  • Advanced skills in MS Office (Excel, Word, SharePoint, PowerPoint).
  • Ability to analyze and implement improvements.
  • Ability to comprehend written material, interpret and apply complex policies, rules, and regulations.

Preferred:

  • Knowledge of university services, activities, policy and procedures, including FERPA.
  • Working knowledge of Banner and PageUp.

Required Experience:
Three years of progressively responsible experience related to the job duties, particularly related to Human Resources functions.

Education/Training:
Some college coursework and one year experience related to program specialty, or an equivalent combination of training and experience; OR three years of progressively responsible office/administrative experience.

Salary:  $21.81/per hour minimum

Assignment Information:
