Parts Specialist

Position is responsible for the procurement, inventory management, and timely distribution of parts, supplies, and components required for equipment maintenance and repair activities. Works closely with shop and field technicians, vendors, and material companies to ensure availability of high-quality parts while maintaining accurate records and optimizing inventory levels.

Success in this role requires a strong understanding of heavy equipment systems, exceptional organizational skills, and the ability to thrive in a fast-paced, service-driven environment. The ideal candidate is a proactive problem solver who can navigate parts catalogs and online resources, build strong vendor relationships, and contribute to the overall productivity and safety of the Equipment Department team.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Inventory & Parts Management

  • Maintain accurate and up-to-date inventory of construction equipment parts, filters, fluids, consumables, and shop tooling.
  • Coordinate, receive, inspect, and document parts orders, ensure accuracy and condition.
  • Ensure timely delivery of parts & materials to shop and field technicians and process invoices for payment.
  • Coordinate core returns, return/credit invoices, and warranty coverages for reimbursement.
  • Take periodic and select inventory counts to manage physical inventory/supplies on-site. 

Sourcing & Procurement

  • Supports sourcing quotes and ordering parts for various equipment manufactures. Caterpillar, Genie, Komatsu, John Deere, Hitachi, and other make and models.
  • Build and maintain relationships with OEM and aftermarket part vendors to secure timely and cost-effective procurement.
  • Monitors order status and back orders to ensure effective equipment uptime through quality communications with vendors. 

Support for Mechanics & Field Crews

  • Assist shop and field mechanics in identifying correct part requirements through use of online resources, OEM part catalogs, diagrams, schematics, and vendor resources.
  • Provide accurate information on parts availability and ETA on orders to minimize job delays.
  • Ensure delivery of parts and materials to job sites and coordinate with freight/courier service providers.  

Compliance & Recordkeeping

  • Ensure clean, organized, and safety-compliant parts, material, and consumable storage areas
  • Enter data accurately into fleet or inventory management systems.
  • Ensure all parts and supply transactions are properly documented, tracked, and fulfilled.

 General Responsibilities

  • Operate construction and warehouse equipment such as forklifts, pallet jacks, battery chargers, and other necessary tooling.
  • Coordinate delivery of parts and materials from vendors to shop and field locations.
  • Assist with equipment monthly billings; submit supply orders, track fuel storage and dispensing, and other Equipment Department tasks.
  • Consult with Equipment and Maintenance shop leadership on unusual repairs, modifications, and other technical matters as it pertains to efficiencies.
  • Research technical information involving specialty or obsolete parts and supplies.
  • Provides quality service and support to the overall equipment operations team as needed.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Knowledge of receipt, storage, and delivery of materials and equipment through application of industry processes involving supply and inventory management.
  • Knowledge of heavy equipment, tractor, trailer, non-mobile, and light duty vehicle parts.
  • Possess strong written and verbal communication skills.
  • Detail-oriented with strong organizational and analytical skills
  • Ability and willingness to abide by the company’s code of conduct, policies, and procedures.
  • Ability to evaluate the merits of competitive products through alternate vendors.
  • Ability to apply supply and inventory management procedures and practices involving management of materials and parts.
  • Ability to plan and maintain the supply of parts and material needed to assure timely and effective support of maintenance requirements.
  • Ability to follow oral and written instructions and maintain accurate and legible records.
  • Ability to prioritize and multitask to meet assigned deadlines.
  • Ability to be proactive, self-motivated, and team oriented.
  • Ability to work with little direct supervision.

QUALIFICATIONS                                                                                                                            

Required

  • High School Diploma or equivalent
  • 4+ years of parts management and procurement experience.
  • 2+ years of experience in construction or equipment maintenance role.
  • Understanding of construction site demands, urgency in sourcing, and field dispatching logistics.

Preferred

  • Parts counter support, part inventory control, or vendor management experience.
  • Working in internal equipment or maintenance divisions supporting field operations.

PHYSICAL DEMANDS                                                                                                                     

  • Work performed in an active equipment shop with exposure to grease, dirt, and occasional outdoor weather.
  • Must be able to lift parts weighing up to 50 lbs. and stand, bend, or walk for extended periods.
  • May require overtime or weekend hours to support peak project schedules or breakdown emergencies.
