Under the general direction of a member of the corporate staff, this position’s primary role is to be the initial contact and escort for visitors and employees to the corporate office.  Strict adherence to the attendance and punctuality policy is expected for this position and the person in this position must project strong customer service, welcomeness, diplomacy, professionalism, and a positive image of the corporation.  The Receptionist/Administrative also assists with covering the front security desk, answering phone calls, providing administrative assistance to the corporate staff and/or other departments on an as needed basis, sending/processing mail and deliveries, performing various errands and projects as assigned.  The person in this position is expected to help support others and must have a “happy to help” and problem-solving approach to their role.

ESSENTIAL DUTIES AND RESPONSIBILITIES (and other duties as assigned)

  • Greet visitors and escort visitors, schedule appointments for visitors/employees to meet with corporate staff and receive and route telephone calls. 
  • Organize and tidy up common reception and work areas. 
  • Schedule and organize meetings, catering, travel, and department activities for members of the Management Team and/or others as assigned.
  • Receive, open, date stamp, and sort and distribute incoming mail including overnight pouches.  Prepare outgoing mail, including Goldstreak, Fed-Ex, and other parcels.  To the extent necessary, serve as a back up for Expeditor and take or collect deliveries to post office/vendor locations or run other similar errands.
  • Maintain ASRC Conference Room schedules for use as necessary by documenting the information in Outlook.  Assist with meeting set-up and clean-up (beverages, snacks, meals, etc.).
  • Perform secretarial and administrative functions including typing, editing, copying, proofing and preparing business correspondence, presentations, and other documents as required.  This may include booking travel and submitting expense reports on behalf of the Management Team and/or others as assigned.
  • Establish, develop, maintain and update filing system for the assigned Management Team and relevant departments. Retrieve information from files when needed. Establish, develop, maintain and update library of trade journals, magazines and other similar items.
  • Work independently and within a team on special and nonrecurring and ongoing projects. Act as a project manager for special projects, at the request of the Office Manager, which may include: planning and coordinating multiple projects, disseminating information, and organizing company-wide events.
  • Maintain office supply inventory including printer ink, copy paper, and kitchen supplies. 
  • Contribute to team efforts by performing tasks as requested by the Management Team or other designee, including providing back up support to Expeditor, Board Support Team and Human Resources when needed.

EDUCATION and/or EXPERIENCE

  • Strong knowledge, understanding and sensitivity to the Inupiat culture.
  • High school diploma or equivalent.
  • One year receptionist/switchboard experience preferred. 
  • Possess a clear speaking voice and ability to handle people courteously. 
  • Typing speed of 40 words per minute. 
  • Strong skills in Microsoft products including Excel and Word, Power Point, Adobe, and/or a willingness and ability to become a proficient user in these programs and additional ones. .
  • The ability to speak and understand the Inupiaq language preferred.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak and communicate professionally and calmly in an effective and efficient way to executives, shareholders, visitors.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.

The work environment is in a busy office setting.  The noise level in the work environment is usually moderate. While performing the duties of this job, the employee may be occasionally exposed to outside weather conditions.
