Administration Manager

Under the general direction of ASRC Construction’s Executive Management, this position is responsible for managing and supervising the administrative functions for the company and its business units.

ESSENTIAL DUTIES AND RESPONSIBILITIES (and other duties as assigned)

  • Establish administrative controls for all office service functions in the accordance with established policies and procedures, client requirements and applicable governmental regulations.
  • Coordinate with staff and business units to initiate and manage organizational outreach and communication; work with hiring managers and Human Resources to develop job descriptions and salary ranges.
  • Prepare and implement job procedures within the scope of established policies and procedures, client requirements and applicable government regulations. 
  • Maintain and update organizational documentation as required for corporate governance for all ASRC Construction entities.
  • Coordinate ASRC Construction board and management policy and procedure development.  Plan, evaluate and manage the implementation of such policies and/or assure adequate flow-down of to the business units.
  • Maintains all corporate governance documentation for all company entities.
  • Coordinate and complete government, regulatory, and compliance reporting requirements for ASRC Construction and its business units.
  • Coordinate and maintain all occupational and business licensing for ASRC Construction and its subsidiaries. 
  • Prepare annual and other periodic reports and coordinate statistical data.
  • Responsible for maintaining all contract and project files, assuring adequacy with current project systems and procedures, in conjunction with project and accounting management. 
  • Maintain joint venture agreements, lease agreements, inter-company and necessary agency preference documents.
  • Maintain a direct working relationship with ASRC for the purposes of data collection and other matters that advance ASRC and ASRC Construction goals and objectives.
  • Act as P-card Administrator for the company’s p-card program.
  • Travel to project locations and company events, as needed. 
  • Perform other related duties as assigned.

 

KNOWLEDGE, SKILLS, AND ABILITIES

  • Excellent communication and interpersonal skills along with a current working knowledge of office machines and computer software applications needed.
  • Ability to carry out managerial responsibilities in accordance with the organization's policies and applicable laws. Supervise all employees within the department.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability and willingness to abide by the company’s code of conduct, policies and procedures.
  • Comply, understand, and support the ASRC Construction’s safety culture to ensure a safe work environment.
  • Strong knowledge, understanding and sensitivity to the Inupiat culture.
  • Demonstrated skills in using independent judgment to achieve assigned responsibilities. 
  • Knowledge of project accounting systems, organization and procedures. 
  • Knowledge of laws, regulations, rules and practices pertaining to assigned area. 
  • Demonstrated knowledge of government and regulatory reporting requirements. 
  • Ability to manage, plan and implement projects.

QUALIFICATIONS

Required

  • Bachelor’s degree from an accredited college in a related field.
    • High school diploma and five (5) or more years of related administrative experience, or a combination of education and experience may substitute for the degree.  
  • Five (5) years of related administrative experience, with increasing responsibilities. 
  • Valid driver’s license with an acceptable driving record.
  • Skill in the use of Microsoft Office products, including Word, Power Point, and Excel, at an intermediate level. 
  • Ability to complete Supervisor Signs and Symptoms training within the first year of hire. 

Preferred

  • Supervisory experience.

The work environment is in a busy construction setting.  The noise level in the work environment is usually varies. While performing the duties of this job, the employee may be occasionally exposed to outside weather conditions and may be required to travel in small and large commercial aircraft.
