Job Title: Health Services Executive Secretary - Galena, Alaska

Job Summary: Job incumbent provides overall office coordination and support for the Edgar Nollner Health Center.

Essential Functions: This list is ILLUSTRATIVE ONLY and is not a comprehensive listing of all functions and tasks performed by incumbent(s).

Representative Duties: Under the direct supervision of the Health Director, job incumbent:

1. Provides orientation to new Edgar Nollner Health Center employees. Ensures that new employees have appropriate office space, keys, computer/printer and basic supplies.

2. Provides consultation services to health staff on organizational and administrative matters relating to TCC Health Services, i.e. travel and purchasing procedures, meeting and orientation schedules, office procedures, etc.

3. Maintains a report tracking system for health quarterly and annual reports, resolution and other reports, including data required for HRSA grant reporting. Informs Edgar Nollner Health Center Director when reports are late.

4. Maintains administrative files for the Edgar Nollner Health Center Director, including certificates required for staff credentialing.

5. Takes and distributes minutes for Edgar Nollner Health Center, staff meetings and other administrative meetings as assigned.

6. Publishes and distributes quarterly Edgar Nollner Health Center Services employee newsletter.

7. Acts as Edgar Nollner Health Center document custodian, including scanning relevant patient records into the electronic health record and responding to or forwarding medical record requests.

8. Orders and stocks supplies as needed.

9. Opens, date stamps and routes mail; attaches background materials when necessary.

10. Places long distance telephone calls, arranges teleconferences and schedules meetings as requested.

11. Answers telephones and takes messages for various health staff.

12. Provides clerical support for various health staff.

13. Submits employee travel requests and trip reports.

14. Schedules, executes and documents routine clinic safety drills in accordance with AAAHC and TCC policy.

15. Assists health staff is scheduling and registration for recurrent professional training as required by TCC credentialing.

16. Assists Edgar Nollner Health Center Director in maintaining AAAHC compliance and preparing for site visits.

17. Build and maintain health service employee schedules in the electronic health record system.

Other Responsibilities:

18. Obtain relevant training as needed to maintain applicable skills and knowledge. Perform other job-related duties as assigned.

Minimum Qualifications

Minimum Qualifications:

1. High school diploma or GED equivalent.

2. Professional Secretary certification or an equivalent strongly preferred.

3. Familiar with IHS and state reporting guidelines.

4. Familiar with and assures compliance with Privacy Act requirement in all office activities. Maintains confidentiality at all times.

5. Effective oral and written communication skills required.

6. Strong organizational and time management skills required. 

Additional Details:  This position will be expected to cross-train in order to provide coverage as needed for the Edgar Nollner Health Center front desk.

Physical Demands: Requirements are those of normal office type work with extended hours of sitting and operation of standard office and computer equipment. Shared office space in a clinical setting. Position requires recurring bending, stooping, kneeling, reaching, and stretching. Incumbent must be able to work accurately and efficiently in a busy and sometimes stressful environment. Job incumbent must be able to lift up to fifty pounds.

Summation: Job incumbent must be able to work independently. Must be able to maintain strict confidentiality. Job incumbent must be highly flexible, able to handle stress, and respond to multiple demands appropriately. Job incumbent must be able to establish priorities to efficiently and effectively manage responsibilities. The job has high contact with people, which makes communication and interpersonal skills important.
