Job Title: Training Enrollment Specialist I/II/III
Department: Employment & Training Services Department (ETSD)
Reports To: Education and Training Manager
Supervises: None
FLSA Status: Non-Exempt

General Functions:
The Training Enrollment Specialist determines basic eligibility, manages the recruitment and enrollment for the Education and Training Grants Program. This position will also be responsible for assessing and facilitating job readiness activities, coordinating job placements, tracking student progress to achieve program outcomes, input and analyze data, provide direct case management and referral services to students who received Education and Training Grants in the service area.
Duties and Responsibilities:
Training Enrollment Specialist I
- Able to Successfully complete the Vocational Training Grants Procedural Training.
- Establish rapport and develop a positive working relationship with participants and partners.
- Partner with local colleges, schools, and vocational centers to provide training for participants.
- Conduct interviews and screen potential students for training program opportunities.
- Determine participant competency levels through assessments and career counseling for strengths/skills, interests, and preferences.
- Identify potential training and employment barriers and assist participants to develop plans and solutions to overcome these barriers.
- Demonstrate the ability to help motivate participants by tracking progress against goals.
- Provide outreach/recruitment for students for 477 and non-477 training grant programs.
- Authorize Supportive Services to eligible participants according to policy and procedure.
- Responsible for obtaining, tracking and documenting all pertinent information in each case file and/or electronically utilizing department databases.
- Participate in scheduled community meetings as requested.
- Coordinate student enrollment into life skills workshops.
- Conduct exit interviews for training completions and obtain related certificates, certifications, and license documentation.
- Provide guidance to students for educational pathways following the successful completion of training programs.
- Ability to review and edit existing resumes.
- Assist job seekers in increasing their knowledge in a particular field and help them focus on current requirements of employers.
- Refer students to subsidized and unsubsidized job placements opportunities.
- Conduct workshops and peer to peer sessions.
- Obtain 1st Microsoft Office Certification within six months of hire.
- Maintain confidentiality according to regulations and procedures.
- Perform all other related duties as assigned.
Training Enrollment Specialist II
- Consistently perform all duties and responsibilities of a Training Enrollment Specialist I with a higher level of proficiency
- Support Training Enrollment Specialist I staff by answering questions, providing guidance, and making recommendations related to the position duties and responsibilities.
- Maintain an active student caseload of both NACTEP, Tribal Training, DOL-CAREER, Eklutna and STEP.
- Obtain 2nd Microsoft Office Certification within six months.
Training Enrollment Specialist III
- Consistently perform all duties and responsibilities of a Training Enrollment Specialist I and II with an advanced level of proficiency.
- Support Training Enrollment Specialist I and II staff by answering questions, providing guidance, and making recommendations related to the position duties and responsibilities.
- Obtain 3rd Microsoft Office Certification within 1 year.
- Monitor and assist team with capturing students training data to ensure accurate tracking of completions.
- Complete necessary reports on a monthly, quarterly, and annual basis.
- Assist the Education and Training Manager in identifying, coordinating, and assigning appropriate training opportunities for staff.
- Assist the Education and Training Manager with tracking program budget and expenditures to ensure spending is in accordance with current procedures and policies.
- Conduct file reviews and provide feedback to Training Enrollment Specialists.
- Bring policy issues to the Education and Training Manager as appropriate.

Minimum Qualifications:
Training Enrollment Specialist, I
- High School Diploma or GED
- Minimum one (1) year related work experience that provides the necessary skills, knowledge, and abilities related to this position.
Training Enrollment Specialist, II
- Associate’s degree majoring in Education, Vocational Education, Human Resources, Business, Communication or related field. Relevant experience may be substituted for the degree requirement on a year-for-year basis.
- Minimum of two (2) years related work experience that provides the necessary skills, knowledge, and abilities related to this position.
Training Enrollment Specialist, III
- Bachelor’s degree majoring in Education, Vocational Education, Human Resources, Business, Communication or related field. Relevant experience may be substituted for the degree requirement on a year-for-year basis.
- Minimum of two (2) years related work experience that provides the necessary skills, knowledge, and abilities related to this position.
Minimum Qualifications for All Levels:
- Willingness to obtain Microsoft Office Certification within six months from date of hire or promotion.
- Knowledge of Alaska Native and American Indian culture and/or community resources.
- Continued employment is contingent upon a report from a state and federal background check.
- Valid Alaska driver’s license and be insurable under CITC’s automotive insurance, which requires a driver to be at least 21 years of age and have had a driver’s license for at least three years.
Preferred qualifications:
- Experience working in a social services or non-profit setting.
Physical Requirements:
- Primarily works in an office setting, with extended periods of time at a desk and on a computer.
