JOB DESCRIPTION 

Job Title: Training Specialist I/II 

Department: Career Development 

Reports To: Education and Training Manager 

Supervises: None 

FLSA Status: Non-Exempt 

Pay Grade: N4/N5 

Job Type: Regular, Full-Time

General Functions: 

The Training Specialist I/II will work to recruit, connect, engage and enroll prospective students into the Career Development Department’s Training Scholarships and Grants program through the Career Development (CD) Department. This position will work under the supervision of the Education and Training Manager to assist applicants and current job seekers through the eligibility and enrollment process for the Tribal Scholarships and Grants programs. This position will assist students in completing education and career assessments, assisting the student through the enrollment process with the training facility as needed, assisting the students through CITC’s Training enrollment process, tracking and documenting the students progress to achieve successful program outcomes, provide job leads and coordinate job readiness activities, coordinate job placements (subsidized and non), retention follow up, develop employment plans, provide integrated case management, provide referrals and supportive services, and provide regular employment counseling. This Training Specialist I/II will also be responsible for regularly attending outreach events in the community to recruit and share information on CITC’s Training Grants and Scholarship programs available to our Job Seekers. 

 

 

Duties and Responsibilities: 

Training Specialist I  

  • Work independently and collaboratively to meet enrollment goals, with focused efforts on exemplary customer service, use of technology and systems, teamwork, accuracy and efficiency.  

  • Attract prospective students and applicants by developing and implementing internal and external recruitment strategies.  

  • Ensure accurate and efficient processing and evaluation of applications, program referrals maintenance and updating of participant files, and the enrollment of students.  

  • Understand and uses the student information system and other software and databases, according to applicable practices and guidelines shared in training and documented in our procedures while staying current with practices, to facilitate the following: contact/communication, tracking activities, and document/data tracking, record updates, application movement, evaluations, decision-rendering, communications, recruitment efforts, event and tour support, status/progress reporting and monitoring, and more.  

  • Responsible to track and maintain meaningful and regular contact with students leading to progress and graduation. 

  • Participate in and supports meetings, conferences, conventions, recruitment events (on- and off-CITC property) such as open house-type events, high school or campus visits, college fairs, and campus tours, etc. The events and programs may involve all types of prospective or current students, alumni and/or friends, and an array of other participants. Performs various behind the scenes and/or public roles during these events. Provides array of support before, during and after events, visits, and tours. 

  • Demonstrate sensitivity in working with personal/confidential records and information, adhering to HIPAA and other related practices and policies. 

  • Assist prospective students in registering for recruitment events and/or tours, submitting their application, completing their application, and moving through pre-enrollment and enrollment phases. 

  • Partner with local colleges, schools, and training providers to provide training opportunities to our Job Seekers. 

  • Identify potential training and employment barriers and assist participants to develop plans and solutions to overcome these barriers. 

  • Request Supportive Services to eligible participants according to policy and procedure.  

  • Coordinate referrals and/or student enrollment into life skills workshops as needed. 

  • Conduct exit interviews for training completions and obtain related certificates, certifications, and license documentation and upload into the participant’s file.  

  • Provide guidance to students for educational pathways following the successful completion of training programs. 

  • Assist job seekers in increasing their knowledge in a particular field and help them focus on current requirements of employers. 

  • Refer students to subsidized and unsubsidized job placements opportunities. 

  • Maintain confidentiality according to regulations and procedures.  

  • Perform all other related duties as assigned.  

 

Training Specialist II 

  • Consistently perform all duties and responsibilities of a Training Specialist I with a higher level of proficiency 

  • Support Training Specialist II staff by answering questions, providing guidance and training, and making recommendations related to the position duties and responsibilities. 

  • Maintain an active student caseload of Vocational Training, Tribal Higher Education, and Eklutna Grant students/

Minimum Qualifications: 

Training Specialist  I 

  • High School Diploma or GED 

  • Minimum one (1) year related work experience that provides the necessary skills, knowledge, and abilities related to this position. 

 

Training Specialist, II 

  • Associate’s degree majoring in Education, Vocational Education, Human Resources, Business, Communication or related field. Relevant experience may be substituted for the degree requirement on a year-for-year basis.  

  • Minimum of two (2) years related work experience that provides the necessary skills, knowledge, and abilities related to this position. 

 

 

Minimum Qualifications for All Levels: 

  • Knowledge of Alaska Native and American Indian culture and/or community resources. 

  • Continued employment is contingent upon a report from a state and federal background check. 

  • Valid Alaska driver’s license and be insurable under CITC’s automotive insurance, which requires a driver to be at least 21 years of age and have had a driver’s license for at least three years. 

 

Preferred qualifications: 

  • Experience working in a social services or non-profit setting.
