Position Summary:
The University of Alaska Southeast is seeking a Business Services Specialist to manage accounts payable, travel coordination and human resource processes. This position is one of three Business Services Specialists physically located on the Sitka Campus.

Duties:
30Accounts Payable / Deposits: Receive and verify deliveries of materials and equipment. Review and audit invoices, obtain required approvals for payments. Work with vendors to problem solve discrepancies, arrange for returns and credits as needed. Monitor purchase order balances and initiate modifications as needed. Maintain vendor records according to established UA retention policies and procedures. Prepare and deliver daily deposits to bank, balancing payments and resolving discrepancies as needed.Essential 30Personnel / Payroll: Perform personnel functions related to changes in job assignments for UAS Sitka employees according to UA HR established procedures, including temporary assignments, faculty and staff on/off contracts, employee terminations, labor distributions, etc. Ensure required documents are signed and submitted based on each situation. Review data entry for accuracy. Monitor, assist with, and troubleshoot employee timesheets biweekly, ensuring they are approved by each deadline. Assist employees in creating and submitting paper or revised time sheets as needed. Work with UA Personnel and UA Payroll to resolve discrepancies in a timely manner.Essential 40Campus Department Delegate: Perform travel and purchase requisition support for assigned Sitka Campus staff, faculty, students, administration and/or departments. Act as travel delegate, from initial travel request, through online booking arrangements, to preparing and finalizing expense reports. Resolve issues as needed. Track and reconcile UA Procard transactions. Obtain required approvals and authorizations as needed. Serve as lead travel resource for the Sitka Campus, ensuring compliance with UA Travel regulations and procedures.

Knowledge, Skills, Abilities:
Required: Proficient computer, word processing and spreadsheet skills. Ability and desire to learn new applications and procedures quickly. Ability to work independently and as a member of a team. Ability to provide professional, courteous, and positive support for students, employees, and business partners. Ability to apply analytical and problem solving skills. Proficient in verifying, monitoring and reconciling records and accounts. Ability to apply organizational skills and attention to accuracy with transaction details and records management. Knowledge of accounting system functions and procedures (e.g. accounts payable). Knowledge of human resource management system functions and procedures (e.g. payroll, personnel). Ability to lift and/or move heavy boxes with or without assistance.

Preferred: Skilled in researching and resolving issues. Skilled in interpersonal communication and conflict resolution. Ability to establish effective working relationships while maintaining sound business practices and high ethical standards. Ability to interpret and apply appropriate accounting and travel procedures, policies, rules and regulations. Ability to interpret and apply appropriate payroll and personnel procedures, policies, rules and regulations. Ability to apply relevant University, federal and state requirements for accounting and human resource management functions. Associate degree in related field preferred.

Preferred Experience & Education:
Experience with automated travel, accounting and/or human resource management systems. Experience working in Public Education environment.

Required Experience & Education:
One year college coursework in related field and one year relevant work experience, or an equivalent combination of training and experience. Experience working in an office and/or team environment. Requires a valid drivers license and clean driving record in compliance with UA Safe Driving Criteria.

Salary Information:

This is a full-time, 12-month, non-exempt staff position complete with both a competitive salary and https://alaska.edu/jobs/benefits.php. New hires will be placed on the https://www.alaska.edu/hr/benefits/compensation/files/fy24_staff_salary_grid.pdf, Grade 77, based on education and experience.
