Position Summary:

The University of Alaska Anchorage (UAA) seeks a dynamic individual to serve as its Fiscal Technician for the Seawolf Sports Complex. The Fiscal Technician reports to the Director of the department, which is housed in Student Engagement and Inclusion within Student Affairs at UAA. The Fiscal Technician works with the Director on financial matters, working independently on financial activities. In addition, this position will serve as the Human Resource Coordinator for the department. Overall, the Fiscal Technician serves as an integral member of a student-centered team, whose mission is to cultivate an engaged campus community at UAA.

Duties:

Assist Director of Recreation, Intramural Sports, and Seawolf Sports Complex with maintaining schedules, contracts, and billing information for Seawolf Sports Complex (SSC) facility rentals through a scheduling program, currently Active Network. Assist with distributing billings and ensuring receipt of payment. Receive and log mail-in checks. Approve tentative permits and process payments and refunds.

Serve as a HR Coordinator. Hiring documentation processing, personnel maintenance, timesheet reporting, and termination for student employees for approximately 80 student employees between the Seawolf Sports Complex and the Student Union. Process all personnel/payroll forms; distribute and review timesheets; maintain all personnel files; monitor student staff GPA and credit level. Track required certifications for SSC staff to ensure compliance .

Provide support to Director of Recreation, Intramural Sports, and Seawolf Sports Complex in all aspects of finance and administration. Perform all general office duties as required . Maintain paper and electronic files. Assist with maintaining recreational sports and intramural information disseminated through websites and social media. Assist Director with special projects as requested.

Assist with tracking and preparing expenditure and revenue data for five recreational sports accounts (totaling $1,000,000+). Process internal purchase requisitions, journal vouchers, direct pays, petty cash requests, employee reimbursements, and deposits for recreational sports accounts. Input purchase requisitions into Banner. Receive and track payments and receivables. Establish and maintain work orders. Assist with or process travel requests and expense reports. Process collections as needed. Assist with refunds. Post all recreational sports financial activity into department soft ledger and other applicable spreadsheets. Coordinate and follow up with Accounts Payable, Procurement Services, and vendors to ensure timely payments and receipts. Utilize, track, and reconcile ProCard purchases for all recreational sports accounts and provide back-up documentation as requested and required by Procurement Services and/or other University of Alaska fiscal officers or auditors. Complete monthly management reports.

Perform other duties as assigned by immediate supervisor, fiscal coordinator or Executive Director of Student Engagement and Inclusion.

Knowledge, Skills, Abilities: 

Knowledge of cash handling, receipt, and deposit procedures. Knowledge of bank transactions and cash control methods. Knowledge of purchasing or general accounting. Knowledge of collection and refund procedures. Knowledge and experience to operate PC compatible computer, cash register, and adding machine. Intermediate computer software knowledge to include spreadsheet and database applications, word processing, website navigation, and Banner Finance System. Knowledge of basic contracts. Clerical and office management skills. Written and oral correspondence skills. Confidentiality, time management, and extensive organizational and attention to detail skills. Skills in research (internet and other) and databases. Proficient in Microsoft IMS) Office; specifically Excel, Word, and Outlook. Proficient in Adobe Systems; specifically Reader and Acrobat Pro. Ability to operate a "Point of Sale" system and other general office equipment . Ability to multitask and prioritize projects; establish and maintain files and record keeping systems; and work independently as well as work in a team environment. Ability to analyze situations and solve problems independently. Ability to establish effective working relationships while maintaining high ethical standards. Ability to learn and apply University fiscal, purchasing, and travel policies, rules, and regulations.

Typical Experience: 

Budget management experience needed, including accounting principles and budget forecasts. Advanced computer skills to perform word-processing, spreadsheet and database management, and website maintenance. Demonstrated educational and professional knowledge and training in Generally Accepted Accounting Principles (GAAP). Excellent time management and organizational skills to effectively manage multiple tasks simultaneously by organizing priorities and maintaining confidentiality. Must possess strong interpersonal skills, including conflict resolution and problem-solving. Ability to interact with students, staff, faculty, and the general public.

Required Education or Training: 

College coursework in Accounting or related field and one year entry-level accounting experience,
or an equivalent combination of training and experience.

This is a full-time, Grade 76, minimum $19.34/hr, 12-month position complete with a competitive salary and UA employee benefits package. This is an open until filled recruitment with the initial application review taking place on July 29, 2021.
