General Functions:

The Recovery Services Data Collection Coordinator is responsible for directing and coordinating the overall data support functions for Recovery Service continuum of care. This position is responsible for program data collection, such as Government Performance and Results Act (GPRA) and satisfactions while maintaining input to Alaska’s Automated Information Management System (AKAIMS) for Anchorage Safety Action Program (ASAP), Office of Children Services (OCS) and Drug Court requirements by retrieving information from collected documents and the Recovery Services Case Management System (RSCMS). 

 

Duties and Responsibilities, including but not limited to:

 

Data Collection Coordinator, I

·         Administers and conducts all satisfaction surveys and exit interviews, following prescribed protocols to ensure proper tracking to all Recovery Services Programs and submit to Data Evaluation Team.

·         Assures satisfaction survey questions remain up to date and works with Data supervisor to update and/or start new surveys to track appropriate responses needed for RS programs and CITC board and leadership.

·         Responsible for all scans, labeling and uploaded documents to Scan Drive and the RSCMS electronic case management system and review that all documents are correct; documents are completed accurately prior to being uploaded to charts. 

·         Reviews all screening tools scanned for accuracy and completion before submitting to Data Evaluation Team.

·         Maintains satisfaction survey spreadsheet for all assessment, outpatient, and residential programs. 

·         Assists in conducting follow up surveys as requested by Data Coordinator II.

·         Maintains and completes Permission for follow-up spreadsheet and adds participants to Survey social media platforms for contact. 

·         Perform all related duties as assigned.

 

Data Collection Coordinator, II

·         Consistently perform all duties/responsibilities of Data Coordinator I with a high level of proficiency.

·         Administers and conducts all follow up surveys following prescribed protocols to ensure proper tracking to all Recovery Services Programs and submit to Data Evaluation Team.

·         Maintain incentive spreadsheet for each program that includes amount of incentive per quarter to report to Data Supervisor

·         Enter data into state databases in accordance with RS procedures and timeframes for and all state grants and per referral requests. 

·         Acts as a liaison between State AKAIMS and attend all AKAIMS meetings and trainings

·         Review and provide quality assurance to all AKAIMS entries

·         Provide and implement outreach opportunities that target participants who would be eligible for follow up surveys. 

·         Assures follow up questions remain up to date and works with Data supervisor to update as needed per SAMSHA grant requirements.

·         Perform all related duties as assigned.

 

Data Collection Coordinator, III

·         Consistently perform all duties/responsibilities of Data Coordinator I/II with a high level of proficiency.

·         Provide initial and ongoing training for administrative support; to include but not limited to, AKAIMS entry and how to administer follow-up and satisfaction survey. 

·         Provide initial and ongoing training for clinical team; to include but not limited to, AKAIMS entry, when screening tools are due, and how to complete screening tools. 

·         Work in collaboration with contractors to maintain AKAIMS spreadsheet, weekly uploads spreadsheet, weekly reports, satisfaction survey due dates, and follow up due dates. 

·         Work in collaboration with Data Supervisor to ensure follow-up rate aligns with CITC RS required metrics, and accordance with Grant regulations.

·         Work with data supervisor in obtaining appropriate incentives.

·         Update survey forms when there are program changes, additions, or directed by Sr. Program Manager.

·         Maintain confidentiality according to regulations, policies, and procedures.

·         Perform all related duties as assigned.

Minimum Qualifications:

Data Collection Coordinator, I

·         High school diploma or GED.

·         Minimum one year (1) working in a Data Support and/or Administrative support role. 

·         Minimum six months (6) months working with an electronic health record database system.

·         Valid Alaska driver’s license and be insurable under CITC’s automotive insurance.

·         Continued employment is contingent upon receipt of a satisfactory report from a state and federal background check. 

 

Data Collection Coordinator, II

·         Associates Degree in Business Administration or related field.Relevant experience may substitute for education requirement on a year-for-year basis..

·         Minimum two years (2) working in a Data Support and/or Administrative support role. 

·         Minimum six months (6) experience working with state and or federal databases.

·         Minimum one year (1) working with an electronic health record database system.

·         Valid Alaska driver’s license and be insurable under CITC’s automotive insurance.

·         Continued employment is contingent upon receipt of a satisfactory report from a state and federal background check. 

 

Data Collection Coordinator, III

·         Bachelor’s Degree in Business Administration or related field. Relevant experience may substitute for education requirement on a year-for-year basis.

·         Minimum three years (3) working in a Data Support and/or Administrative support role. 

·         Minimum one year (1) experience working with state and or federal databases.

·         Minimum two years (2) working with an electronic health record database system.

·         Valid Alaska driver’s license and be insurable under CITC’s automotive insurance.

·         Continued employment is contingent upon receipt of a satisfactory report from a state and federal background check. 

 

Preferred Qualifications:

·         (I) One year (1) experience working in substance use treatment.

·         (II) Two year (2) experience working in substance use treatment.

·         (III) Three year (3) experience working in substance use treatment.

 

Hiring Preference:

Preference shall be given to eligible and qualified Alaska Native/American Indian applicants pursuant to PL 93-638 Indian Self-Determination Act.
