Project Management Office Administrator, Enterprise Management Office

Provides key administrative, technical, and change management support for establishing, growing, and maintaining effective portfolio and project management processes at ANTHC. Works as part of the Project Management Office (PMO) leadership team to ensure the successful implementation of the PMO’s strategy, responsibilities, services and deliverables. Serves as a gatekeeper to ensure projects conform to established project processes. Integrates project reporting to ensure project portfolio health is measured and communicated to the organization. Key functions include:

Developing new and improving existing portfolio and project management frameworks and processes for how projects will be selected and executed in ANTHC’s enterprise PMO.

Continuously evaluating projects to ensure they are meeting company standards, adhering to project requirements, and delivering value.

Integrating routine portfolio and project reporting and recommend solutions to improve project delivery as part of the PMO leadership team.

Collaborating with other department leaders to define, prioritize, and develop projects in support of the company’s strategic portfolio of capital and non-project projects.

Supporting project management discipline health through recruiting, development, and coaching.

Responsibilities:

Ensure the successful implementation of the PMO’s strategy, responsibilities, services, and deliverables.

Establish frameworks and standards for project delivery. Manage change resulting from these new processes, and step in to support and model new processes.

Build cohesion within the team and motivate team to produce quality work.

Serve as gatekeeper ensuring quality control and conformance to process.

Collaborate with other department leaders to define, prioritize, and develop projects in support of the company’s strategic portfolio of capital and non-project projects.

Work with other department leaders to identify risks and opportunities and manage resource allocations across multiple projects and programs. Analyze, evaluate, overcome program risks, and recommend mitigation plans for management and stakeholders.

Develop project reporting standards and metrics to measure project health. Integrate routine project reporting and recommend solutions to improve project delivery. Facilitate Project Management Office reporting to senior management and stakeholders.

Support cross-team communication and develop workflows to document cross-team processes.

Support project management discipline health through recruiting, development, and coaching.

Provide administrative leadership for budget, contract management, and other Project Management Office needs.

Perform other duties as assigned.

KNOWLEDGE and SKILLS

Proven leader in project delivery of increasing complexity of projects. Proven leader of project management staff.

Knowledge and proficiency with MS Project, Excel, Word, PowerPoint and Visio.

Knowledge of organizational project management standards to include the use of standard methodologies on complex projects in a healthcare environment.

Skill in assessing and prioritizing multiple tasks, projects and demands.

Skill in establishing and maintaining effective working relations with co-workers, contractors, and internal and external stakeholders.

Skill in establishing and maintaining cooperative working relationships with individuals with wide array of cultural, political, educational, socio-economic, geographic and linguistic backgrounds.

Skill in addressing sensitive issues and situations.

Skill in working with subject matter experts and stakeholders to develop the business case and project goals and to define project requirements and scope.

Skill in integrating team members to develop the integrated project plan and to effectively track status against the established plan.

Skill in managing lessons learned from projects and applying to related projects within a program.

Ability to influence others at all levels of the business.

Skill in developing common processes, workflows, and tools and rolling out to organizations.

Skill in managing change and ensuring focus on the intent and benefits of proposed organization changes.

MINIMUM EDUCATION QUALIFICATION

A Bachelor’s Degree in project management or related field. Progressively responsible professional/exempt work experience in all aspects of the planning, design and implementation of highly complex projects may be substituted on a year-for-year basis for college education.

MINIMUM EXPERIENCE QUALIFICATION

Non-supervisory – Ten (10) years professional work experience managing major projects or working in positions using all the aspects of planning, design and implementation of projects. An equivalent combination of relevant education and/or training may be substituted for experience.

To Include

Supervisory – Three (3) years in a supervisory capacity.

MINIMUM CERTIFICATION QUALIFICATION

Project Management Professional (PMP) or equivalent certification

PREFERRED EXPERIENCE QUALIFICATION

Experience in finance, data and analytics, information technology in a healthcare environment. Experience in healthcare operations.
