Chugach Alaska Services, LLC (CAS) is an Alaska Native-owned and operated staffing firm supporting Alaska's Oil & Gas Industry for over 28 years. CAS is recruiting for a Pump Station 09 Administrative Assistant located near Delta, AK.

Position Summary:

The Pump Station Assistant reports directly to the Staffing Program Manager and indirectly to an Alyeska Lead. This position provides administrative functions in support of the Pump Station 09. This role acts as the records custodian and point of contact for archival of closeout documentation. This includes project and minor modification records, inspection reports, redlines, tag workbook, etc. In addition, this position provides general documentation and file management support for projects and engineering. This position is a 40 hour urban work schedule and travel will be required. 

Essential Duties & Job Functions:

  • Provide support for O&M Supervisors (2), P&CM Supervisors (2), Technicians (18), Baseline Foreman (2), Baseline Crew (4), OSCP Coordinators (2), Environmental Coordinators (2).
  • Administer pump station orientation to workers arriving onsite and direct them to appropriate personnel.
  • ROWMIS and Passport data entry to include, but not limited to: facility PM’s, ROW work identification creation including uploading of photos, haul voucher accounting, OSCP PM’s, OSCP drill packets and rosters, facility civil surveillances, CKV and MGV function checks, ROW surveillances – bridges, fish stream, containment sires, contaminated soil stockpiles, storm water pollution prevention plan inspections, ground and valve surveillance inspection checklists, solid waste disposal site, hazardous waste inspection log.
  • Publishes procedures and SOCs.
  • Update PS09 IRT form daily and personnel and equipment list each week and/or shift change.
  • Need to be able to man the radio for recon or other emergencies and fill out ICS documentation.
  • Submit sump injection logs, monthly drinking water log, DOT chart, weekly fuel reports, weekly operations reports, publish EC-71 and SP-77 documents and procedures as well as PS09/GRB facility and ROW procedures, security visitor pass processing, vehicle inspection sheets, expense reports.
  • Maintain vacation/shift schedules and local calendars, keep the Delta apartment schedule up-to-date and process eLite training information, make travel arrangements for flights, hotel and car rentals when requested, order meals for special communication meeting, company celebrations, drills, training, etc.
  • Office – Answer phone, send/receive faxes, copy documents, file, order office supplies, schedule appointments, distribute mail, maintain machines (toner, paper, etc.), maintain several electronic files, send/receive mail, archive files as necessary and according to archive procedures, keep site orientation materials up to date and stocked, end of the year make up new schedules, new current year files, etc.
  • Interaction – must work closely with others at the facilities including PS09, FMB, Security, and project personnel.
  • Support preparation for internal audits and JPO inspections, Federal DOT, and electrical inspections, fire marshal, etc.
  • Manage Delta IGA account
  • Maintains and protects confidential information.
  • Adheres to all Alyeska pipeline and Chugach Alaska Services policies, regulations, procedures, and code of conduct.
  • Wears appropriate Personal Protective Equipment and remind those not following guidelines.
  • Work cooperatively within a team setting and demonstrate attitude conductive to positive team morale.

Minimum Requirements (Education, Experience, Training & Professional Certificates/Associations):

Mandatory

  • High School Diploma/GED.
  • Three (3) years of directly related work experience in operations and maintenance.
  • Microsoft Office Suites proficient.
  • Adobe Acrobat proficient.
  • Strong written and oral communication skills.
  • Customer Service oriented.
  • Valid driver’s license with an acceptable driving record.
  • Successfully pass a preemployment background check and drug screening.

Preferred

  • 5 - 10 Years Related Experience.
  • Previous field work experience in remote location.
  • Previous TAPS experience.
  • Previous work experience with HRIS, MSDS, IMPACT and PeopleFluent.
