General Function
This position works to convert and extract shareholder records from multiple sources to a digital record.  Process a high volume of shareholder changes in a computerized records database. This position requires the ability to handle confidential information appropriately.

Major Activities (Typical Duties/Responsibilities)

1. Audits, separates, names and files documents electronically; ensure naming nomenclature is followed and quality control is tracked.
2. Responsible for preparing and sorting all scanning of department records to secure and preserve shareholder documents.
3. Responsible for maintaining department file structure for processed electronic records.
4. Performing other duties as appropriate and as assigned.

Skills/Abilities

• Proficiency in computers including industry-standard computer software and Microsoft Office suites with accurate data entry skills, as well as experience with Adobe.
• Excellent organizational skills and attention to detail; ability to prioritize work and problem solve while exercising good judgment.
• Excellent interpersonal skills; ability to work effectively and cooperatively with all levels of management and staff, including the ability to be empathetic with respect to shareholders’ needs.
• Work independently as well as on a team and with minimal supervision.
• Familiarity with operation of standard office equipment.
• High degree of sensitivity regarding confidential information.

Physical Abilities

• Must possess sufficient fine motor skills for use of computers, calculators with an ability to withstand repetitive keyboarding for extended periods of time.
• Must possess visual ability sufficient to perform the essential functions of the job.
• Must be able to kneel, bend and twist at the waist on an occasional basis.
• Must be able to reach below shoulder height with regular frequency (desk position) and at or above shoulder height on occasion.
• Must be able to push, pull, carry and lift objects weighing up to 20 pounds on a regular basis, and greater weights on an occasional basis.

Minimum Qualifications

• High School Diploma or equivalent GED
• Two or more years of general office administration experience
• Experience with document management in Adobe
• Fully vaccinated against COVID-19
• Ability to pass a background check
