Position: Compliance Administrative Assistant

Location: Anchorage, AK

Reports To: Compliance Manager

Position Summary:

MTNT, Ltd is seeking a qualified Compliance Administrative Assistant to be responsible for performing office related duties on a professional level and will work closely with the Manager of Compliance on a multitude of tasks. They will be primarily responsible for subsidiary maintenance, government contracting reporting, and providing day-to-day assistance and support to other departments at the Anchorage office.

Essential Functions:

  • Research and determine filing requirements for each contract/project location
  • Prepare entity qualification forms and file necessary state and federal forms and reports with federal and state agencies
  • Proactively maintain registrations for subsidiaries to transact business in states as requested
  • Ensure the annual/biennial reports for MTNT are timely filed and in compliance with applicable federal and state agencies
  • Maintain and update System Awards Management System (“SAM”) profiles
  • Report and maintain contract and subcontract awards in Federal Funding and Accountability Transparency Act Subaward Reporting System (“FSRS”)
  • Responsible for completing expense reports
  • Assist in maintaining employee records
  • Coordinate meeting and conference schedules
  • Assist with formatting documentation including offer letters, communications to hiring managers and candidates/new hires
  • Plan and manage events
  • Assist with onboarding processes
  • Answer, screen, and direct incoming calls
  • Assist with related clerical duties such as photocopying, faxing, filing, and collating
  • Assist Anchorage office in administrative processes and procedures in adherence to organization policy
  • Assist with analyzing compliance requirements

Qualifications:

  • High school diploma or GED High school diploma or equivalent
  • Bachelor’s Degree preferred
  • Minimum of 1 year experience with administering compliance
  • A minimum of 3 years’ experience as an Administrative Assistant or in other similar job capacity
  • Experience handling Protected Personal Information (PPI)
  • Experience with MS Word, Excel, and Outlook; strong computer and typing skills
  • Excellent customer service skills, including the ability to interface with all levels of management, customers, officials, and subcontractor personnel
  • Excellent oral and written communication skills
  • Excellent time management and organizational skills
  • Ability to balance multiple competing priorities under deadlines
  • Good organizational and time management skills
