JOB SUMMARY:

The Benefits Supervisor is responsible for administering Calista Corporation’s and its subsidiaries’ insurance and retirement programs. This includes supervising the Benefit Team, providing high levels of customer service, delegating, and planning the day-to-day workflow, facilitating best practices, working with brokers/TPAs, and ensuring ACA and ERISA compliance.

ESSENTIAL FUNCTIONS

  • Work closely with plan vendors and third-party administrators.
  • Coordinate transfer of data to external contacts for services, premiums, and plan administration.
  • Assist in developing and maintaining benefit packages for all company locations, when possible.
  • Provide special guidance and assistance to specific work locations on optimum benefit plan options.
  • Plan and coordinate annual Open Enrollment.
  • Document and maintain administrative procedures for assigned benefits processes (SOPs).
  • Supervise department to include:
    • Assist with hiring, performance management, training, and workflow.
    • Present individual Performance Management Plans to staff; evaluate staff performance regularly to ensure quality and continuous improvement.
    • Determine workload and workflow, delegate to appropriate personnel.
    • Oversee daily benefits processing including enrollments, COBRA, terminations, changes, beneficiaries, disability, accident and death claims, compliance testing, employee benefits files, HRIS database, 401k testing, 401k true ups, pension allocations, and ensure employee payroll records are updated.
    • Audit the accuracy and performance of functions performed by benefits team.
  • Supervise maintenance of enrollment and claims records for all benefits plans.
  • Gather employee data and oversee the processing of billings and the preparation of check requests for payment for all group plans.
  • Perform and serve as the point of contact for plan audits; prepare, collect and organize data for assessments; review data in conjunction with accounting.
  • Provide customer service support to internal and external customers. Handle benefits inquiries and complaints to ensure quick, equitable, courteous resolution. Maintain contact in person, and by phone or mail, with hospitals, physicians, insurance companies, employees, and beneficiaries to facilitate proper and complete utilization of benefits for all employees.
  • Oversee communication tools to enhance understanding of the company's benefits package. Design and distribute materials for benefits orientations, open enrollment, and summary plan descriptions.
  • Provide training and support to group benefits team and employees across our companies
  • Coordinate benefit related company/employee events to promote wellness campaigns.
  • Compile reports, presentations, and briefings.
  • Travel by car or plane to conduct company business.
  • Work in a constant state of alertness and in a safe manner.
  • Perform other duties as assigned.

 

SUPERVISORY RESPONSIBILITIES

This position supervises the benefits team at the corporate office. This position is responsible for overseeing the day-to-day workflow of the team as well as playing a key role in recruitment and performance management of the team.

 

KNOWLEDGE, SKILLS & ABILITIES: 

  • Ability to enforce Federal, State and company labor and employment regulations.
  • Supervisory skills, including but limited to, delegating work, goal setting, effectively and constructively resolving conflict.
  • Strong understanding of insurance (general language and workings of health, life, STD, LTD, and AD&D) and retirement plans and best practices: ability to administer such programs.
  • Ability to communicate with employees professionally and effectively, business partners, and clients via written and verbal communication methods.
  • Strong analytical skills and a thorough knowledge of plan designs. Ability to understand, evaluate and make judgment on proposals and quotes.
  • Knowledge of benefits contract language. Knowledge of federal and state regulations that affect both fully insured and self-insured benefit plans.
  • Knowledge of all pertinent federal and state regulations, filing and compliance requirements, both adopted and pending, affecting employee benefits programs, including EBSA, ERISA, COBRA, FMLA, ADA, Section 125, Medicare, Social Security and DOL requirements.
  • Ability to work independently and work cooperatively with others; ability to work with employees, business partners, and customers in a friendly and positive manner.
  • Interpersonal skills to communicate and negotiate with inside and outside sources.
  • Proficiency in standard computer software, application programs and e-mail. Typing 40 wpm and 10-key by touch. Strong skills in Excel and Power point. Experience with HRIS and benefits databases.
  • Ability to visualize, articulate, and solve complex problems and concepts, and make decisions based on available information. Ability to use judgment and discretion.
  • Ability to handle stressful situations and effectively plan and organize duties to meet deadlines.
  • Ability to handle multiple tasks simultaneously.
  • Ability to work with concentration, accuracy, and attention to detail.
  • Ability to analyze and resolve complex issues, both logical and interpersonal.
  • Ability to participate in and facilitate group meetings.
  • Ability to work in a Native Corporation multi-business environment.
  • Ability to operate a motor vehicle in a safe and efficient manner.
  • Ability to occasionally travel remotely.

 

QUALIFICATIONS:

  • Bachelor’s degree in business or accounting related field. 
  • Minimum of eight years or more of experience in benefit administration which includes medical insurance; two years of which must be at a supervisory level.
  • Current PHR or CEBS professional certification strongly preferred
  • Experience working with 401(k) and pension plans strongly preferred.
  • Experience with self-funded plans and Federal Employee Health Benefits (FEHB) strongly preferred.
  • Experience working with multi-business lines, union collective bargaining agreements, Service Contract Act (SCA) strongly preferred
  • Deltek Costpoint, WorkDay and HRIS system experience preferred.
  • Valid state driver’s license with clean driving record and must be qualified to operate a vehicle under the conditions of the Company’s Driving Polices.
  • Ability to pass a drug, driving, credit and background screening.

 

WORKING CONDITIONS

The work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Calista has a fast-paced, multi-tasking office environment requiring a high degree of efficient, accurate, and effective performance and strong customer service skills. The employee must exercise flexibility with regard on last minute requests for project support and varied workloads. At times, there may be a need for occasional weekend and/or evening work to meet deadlines. The noise level in the work environment is moderate.
