SUMMARY

The Administrative Assistant will provide direct support to the Vice President of Community & External Affairs and Shareholder Relations.  Under general supervision and according to the company’s established policies and procedures, the Administrative Assistant will perform all functions to support to the Team.   The Administrative Assistant must possess extensive knowledge of the policies, procedures and organization of the Corporation, as well as a broad understanding of the corporation and community priorities. 

 

ESSENTIAL FUNCTIONS

Responsibilities

·Responsible for the day to day administrative support

·Arrange detailed travel plans & itineraries

·Compile & submit expense reports

·Manage calendar of appointments & meetings

·Produce, compose, and edit correspondence and other material

·Review email and voicemail communications when VP is traveling and unavailable

·Prioritize and handle correspondence and other documents for review and action

·Assist in scheduling meetings

·Prepare meeting packets and presentations as requested

·Draft meeting minutes and maintain electronic and paper copies for non-profits

·Assist in fundraising for non-profits

·Document client and internal meeting notes

Other duties as assigned

 

 

EDUCATION and/or EXPERIENCE

High school diploma

Experience in administrative activities

KNOWLEDGE, SKILLS AND ABILITIES

General knowledge of clerical procedures and practices

Proficient use of Microsoft Office programs for various projects

Strong organizational skills that reflect ability to perform and prioritize multiple tasks

Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of service and response

Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff and external partners

Excellent written and verbal communication skills

Resourceful team-player, with the ability to also be extremely effective independently

Skills in planning, organizing, time and work management

Demonstrates ability to achieve high performance goals and meet deadlines in a fast-paced environment

Excellent written & verbal communication skills. Must be proficient in the use of basic computer software (i.e., Microsoft Word, Excel, and PowerPoint).
