Tyonek Tribal Conservation District


The Tyonek Tribal Conservation District (TTCD) team is seeking an Administrative Coordinator with strong communication and administrative experience! This position works closely with the Executive Director and other team members by providing effective and consistent day-to-day operational support at our Anchorage office. The ideal candidate will be someone who can build and maintain consistent internal processes for our organization, while also thriving in the flexible and dynamic environment of a small nonprofit.  

JOB FUNCTIONS & RESPONSIBILITIES

  • Process mail, emails, phone calls; maintain office supplies and inventory
  • Manage IT and other vendor relationships
  • Manage organizational calendar
  • Organize, streamline, and maintain organizational processes for maximum efficiency while maintaining administrative records according to TTCD policies
  • Process bills, invoices, check requests, receipts, credit card statements, monthly reconciliations, and other financial management tasks
  • Manage digital and physical document storage in compliance with TTCD records retention policies.
  • Assist Executive Director in maintaining business accounts, insurance, and other policies related to keeping TTCD in good standing
  • Assist Executive Director in preparing board meeting materials and official minutes
  • Assist with coding activities and reconciliations in accordance with operational and grant budgets
  • Draft communications and fundraising letters; maintain contact lists
  • Maintain positive working relationships with internal and external partners, including performing other duties as requested

MINIMUM QUALIFICATIONS

  • In-depth understanding of office management practices, procedures, and daily operations
  • Proficiency with MS Word, Excel, Outlook, and other relevant software
  • Demonstrated ability to prioritize workload tasks to meet multiple deadlines
  • Highly organized, efficient, solutions- and detail-oriented with excellent time management skills
  • Pro-active and strategic mindset that enjoys improving existing systems collaboratively
  • Demonstrated ability to work successfully both independently and within a team environment
  • Strong communication and interpersonal skills, ability to communicate effectively and comfortably with partners of different backgrounds and experiences
  • Excellent verbal and written communication skills

While we don’t expect that any single candidate will be able to demonstrate all of the preferred qualifications, these are some of the skills and attributes that we hope candidates may also bring to this position.   • Experience in nonprofit administration and financial processes
  • Ability to work independently with minimal supervisory support
  • Experience and/or interest in fund development projects
  • Experience organizing, coding, and tracking classifications for projects that utilize multiple grant and donor funds

THE ORGANIZATION

The Tyonek Tribal Conservation District is a non-regulatory, nonprofit 501(c)3 organization whose mission is to conserve, enhance, and encourage the wise use of natural resources by fostering cooperative relationships between agencies, district landowners, and local stakeholders. TTCD serves 6.6M acre geographic region defined by Alaska Game Management Unit 16b. The creation of TTCD was made possible through a mutual agreement between the Native Village of Tyonek, Tyonek Native Corporation, and the United States Department of Agriculture.

TTCD currently has a team of six full-time staff headquartered in Anchorage, Alaska. Our team also includes part-time staff in the Tyonek/Beluga region who implement the Tyonek Grown program and collaborate on education and field projects. A leader in its work, TTCD has gained state and national recognition for its efforts to support subsistence and sustainability through our Habitat Monitoring & Restoration, Tyonek Grown, Tyonek Youth Conservation Science, and Technical Assistance programs. To facilitate this work, TTCD annually operates several multi-year federal and state grants, as well as numerous corporate and local grants.
