Position Summary:

The Alaska Coastal Rainforest Center (ACRC) and the School of Arts & Sciences at the University of Alaska Southeast are seeking strong applicants for a Grants & Budget Analyst. This person will provide financial support for externally-funded projects and will report to both the Director of the ACRC and the Arts & Sciences Administrative Officer. 

Our ideal candidate is excellent with Excel spreadsheets, detail oriented, and, above all, focused on accuracy. You will generate monthly reports for all externally funded grants and will review with PI’s as needed. While great with numbers, you can also deftly interpret financial information for non-fiscal sta ff and faculty. The Grants & Budget Analyst is the sole administrative position for the Alaska Coastal Rainforest Center, and thus the breadth of the position encompasses budgetary and program administration as well as routine support duties.

Responsibilities:

Sponsored Project Accounting/Analysis/Compliance

  • Collect, analyze, and interpret data to administer all assigned School of Arts & Sciences and ACRC sponsored budgets.
  • Perform actions in accordance with policies (primarily funding to include cost share and match requirements) and compliance with all applicable federal, state, university, and contractual/agreement bound rules and regulations.
  • Monthly preparation and review of project portfolios with principal investigators for each of their externally-funded projects. Create or support creation of a monthly financial reconciliation to include labor projections and review programmatic deliverables o r similar documentation to guide discussion.
  • Assist faculty and postdocs with summer assignment workloads by advising on available funding sources and appropriate labor distributions based on planned summer effort.
  • Manages sponsored project budget reallocations and corrections to meet evolving program needs. ? Ensure compliance with university and federal regulation in areas of grant-related expenditures.
  • Project and report on actual vs. forecasted expenditures, status of grant funds, obligations, and fund spend out.
  • Assists PIs in seeking no-cost extensions on Fund 2 projects as needed.
  • Complete effort certifications 3x/year for all salaried personnel who charge time to Fund 2 sources.
  • Conduct monthly analysis of labor charges to all Fund 2 sources and coordinate labor redistributions as needed.
  • Work with supervisors and budget office to process close-outs on a timely basis.

Administrative Support

  • Provid e general office support, including mailing items and ordering office supplies as needed.
  • Maintain a tracking system for all tangible ACRC property, including a tagging protocol and documenting transfers and dispositions.
  • Other duties as assigned.

Procurement/Travel:

  • Facilitates all procurement for the ACRC on Fund 1 and Fund 2 awards.
  • Work with Administrative Services to set up subawards, contracts, and purchase orders. Review and route invoices from subaward recipients and contractors for payment. Coordinate lab supply purchases with the ACRC Research Professional as needed.
  • Act as Travel Coordinator for all ACRC faculty, staff, and non-affiliates (10-15 trips per year). Advises travelers on travel processes, policy, and regulation.

Human Resources/Personnel

  • Works closely with the UAS HR Coordinator to hire all ACRC faculty, postdocs, staff, and students and to extend term funded staff as needed.
  • Assist ACRC faculty and postdocs with summer assignment workloads by advising on available funding sources and appropriate labor distributions based on planned summer effort.

KNOWLEDGE, SKILLS, ABILITIES:

  • Knowledge of short and long term fiscal planning processes.
  • Experience using Banner and QMenu.
  • Previous experience serving in an administrative role for a higher education research unit.
  • Demonstrated skill in budgetary analysis and control, including monthly reconciliation of accounts.
  • Ability to analyze complex fiscal situations and propose viable solutions and course of action to the Director.
  • Ability to manage both general and grants budgets.
  • Excellent public speaking, customer service, tact, diplomacy, and persuasion skills.
  • Advanced skill in methods to format spreadsheets (Excel), make calculations, projections, pivot tables, etc. (Ability to design, execute, and maintain spreadsheets.) Previous experience with a relational data system.
  • Ability to maintain professional demeanor with faculty, students, and staff. Ability to recognize situations when discretion is required and maintain confidentiality of information and records.

TYPICAL EXPERIENCE:

At least three years of experience in research administration within a university, government, or non-profit environment.

REQUIRED EDUCATION OR TRAINING:

Required: Bachelor's degree in accounting or related field, and three years of progressively responsible experience, or an equivalent combination of training and experience.

Required: Working knowledge of university accounting and other administrative policies and procedures.

Preferred: Previous experience (1-2 years) with higher education fund management, procurement, travel, and HR processes.

Required: Ability to manage a wide range of active projects and responsibilities, and to change from one task to another without a loss of productivity.

Required: Advanced skill in methods to format spreadsheets (Excel), make calculations, projections, pivot tables, etc. (Ability to design, execute, and maintain spreadsheets.)

Preferred: Previous experience working successfully with people of diverse cultural and ethnic backgrounds.

SALARY INFORMATION:

This is a full-time, 12-month, non-exempt staff position complete with both a competitive salary and full employee benefits package. New hires will be placed on the UA staff salary schedule, Grade 79, based on education and experience.
