ALASKA CHILDREN’S TRUST Operations Manager

The Operations Manager handles a wide range of duties pertaining to the day-to-day function of the organization. The position administers the activities and functions necessary for the efficient operation of Alaska Children’s Trust (ACT). The Operations Manager serves as the primary point of contact for internal and external constituencies on all matters pertaining to ACT and oversight of the day-to-day operations of the organization. The successful candidate will be experienced in working with Executive level individuals, be proactive in nature and must bring a high degree of professionalism, responsiveness, and confidentiality to the position.

Supervision

The Operations Manager will report directly to the President & CEO of the Alaska Children’s Trust.

Employment Classification

  • Full-time
  • Hourly/non-exempt

Wage Range: $28.00 to $34.00

Education & Experience:

  • High school diploma
  • Prefer 2 years of experience in financial and accounting, human resources, administrative assistance/operations manager role, or any combination of training and experience that provides the required skills, knowledge, and abilities.

Skills:

  • Excellent interpersonal skills to include tact, professionalism, and diplomacy; ability to work effectively and cooperatively with all levels of management, staff, service partners, donors and general community.
  • Strong IT skills, including database management and Windows products (i.e., Word, Excel, Outlook).
  • Effective listening, verbal and written communication skills (i.e., proper grammar)
  • Ability to effectively and efficiently handle multiple, simultaneous and complex tasks and projects in a fastpaced environment.
  • Superior organizational and follow up skills, to include time management, attention to detail, and filing.
  • Ability to make decisions, engage in critical thought and solve problems.
  • High degree of integrity, honesty, confidentiality, and maturity necessary.
  • A sense of humor, strong work ethic, and dedication to system change to benefit children and youth are very important.

Job Duties:

Financial support activities:

  • Payables & Receivables – manage the processing of all receivables and payables, including deposits, invoicing, and data entry.
  • Grant management - assist in the tracking, reporting, and overall management of organizations grant portfolio.
  • Payroll – collects and inputs all timesheets.
  • Maintains office services by organizing office operations and procedures, controlling correspondence, designing filing systems, reviewing, and approving supply requisitions, and assigning and monitoring clerical functions.
  • Submit and reconcile expense reports.

Human Resources support activities:

  • Manage all travel for agency business (i.e. employees, board of directors, scholarship recipients).
  • Supports company operations by maintaining office systems
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • Coordinate IT support services. Administrative/Program support activities
  • Manage the reception area – primary contact for all inquiries at ACT.
  • Project management - assist with special events or projects (i.e. fundraisers, awareness projects).
  • Produce and distribute correspondence memos, letters, faxes, and forms.
  • Take accurate minutes of meetings.
  • Board of Directors agency liaison (i.e. scheduling and manage all meeting logistics, minutes)
  • Provides support to all ACT programs.
  • Assists Senior Management team with time management by screening requests, calendaring appointments, and polling groups to schedule gatherings/meetings.
  • Perform other duties as need and assigned.
