Human Resources Assistant - Alaska

 

Position Summary

 

The Student Conservation Association (SCA) is currently seeking a Human Resources Assistant to support our busy Human Resources Department. This position will be responsible for assisting with all compliance-related processes for onboarding within the company. Many SCA applicants are minors and from remote areas and/or areas with limited technological resources: This position offers assistance to applicants and internal feedback to help break down barriers to work/entry related to I9 documentation compliance, as well as other compliance tasks.

This position is a perfect fit for an entry level, detail-oriented individual who enjoys people interaction in a high volume, complex environment.

 

Roles and Responsibilities

 

  • Act as the initial point of contact for all HR-related inquires for your location,
  • Monitor reports daily to ensure all compliance items are completed prior to participants start dates.
  • Communicate with both participants and staff to notify them of their compliance status/field readiness.
  • Expire/add selection forms within Salesforce as needed.
  • Assist with the monitoring of an I-9 management system, including resetting links, verifying documents for retention requirements and assisting with all I-9-related inquiries.
  • Assist applicants, and their guardians as needed, in obtaining/ordering necessary I9 documentation.
  • Assist HR team with background check and fingerprint compliance as requested; Update HR forms and processes as requested.
  • Assist with internal and third party audits of HR processes as requested.
  • Inform supervisor of ongoing issues at the local level associated with onboarding compliance .
  • Assist with process improvement and streamlining to create a more efficient onboarding process.
  • Respond to and close Help Request Tickets.
  • Complete Employment Verification Forms, Public Service Loan Forgiveness Forms, etc. for members.
  • Assist with the completion of workers compensation wage statements and other workers compensation-related tasks as assigned.
  • Schedule and conduct benefit orientations for members, respond to benefit-related inquiries.
  • Assist with benefit administration.
  • Other tasks as assigned.

 

Qualifications

  • Valid drivers license and motor vehicle record (MVR) that meets SCAs standards
  • Ability to travel to various locations to assist with compliance in person
  • Ability to work autonomously and accurately, without constant oversight
  • Ability to communicate clearly and professionally, and work collaboratively with a service mindset
  • Ability to maintain upmost confidentiality and conduct self in a professional manner, even under stressful situations

 

Education and Experience

  • 3-5 years Customer Service experience
  • Excellent interpersonal skills both internally and externally and ability to develop and maintain relationships
  • Ability to work well as part of a team as well as independently
  • Cultural awareness of rural Alaskan locations and sites. This includes experience communicating and working with rural Alaska Native communities.
  • Demonstrated experience in fast-paced environment and ability to work effectively under pressure.
  • Must be coachable and willing to be trained
  • Mandatory travel throughout the year to rural Alaskan sites, especially during busy season.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Social Media web platforms
