Position Summary:

Victims For Justice is looking for a highly-organized, hardworking, and self-motivated Executive Assistant to keep the office running smoothly. The ideal candidate will report to the Executive Director with minimal direct supervision. They will need to have superb time management and organization skills, be comfortable with general office operations, including professional electronic correspondence, filing, typing reports and related materials, and distributing mail.

The Executive Assistant is one of the faces of our organization and therefore should have good people and communication skills in order to best work with our clients. We hope that this position will help us identify ways we can be more effective and efficient by contributing fresh ideas for improvement.

Specific Duties:

  1. Screen incoming phone calls and walk-ins: Must have an ability to communicate with potential and current clients dealing with sensitive issues.
  2. Create and maintain an organized filing system, both electronic and physical; provide recommendations as needed to policies and procedures, manuals, and related materials.
  3. Prepare communications such as grant/board support, emails, meeting coordination, and other correspondence as requested.
  4. Scan, file, and log accounting documents both physically and electronically; maintain and update general ledger while working closely with the Executive Director and third-party CPAs to ensure all accounts are up-to-date and paid on time.
  5. Collate and distribute mail as received to adequately manage and distribute information.
  6. Maintain inventory of office supplies and materials; evaluate materials prior to the onset of new project phases, coordinate with staff members for adequate stock.
  7. Coordinate with IT Systems Analyst as needed to ensure proper functioning of office server, computers, and other devices.
  8. Ability to manage the complex logistics needs of a wide variety of community outreach events; work closely with the Executive Director and Communications and Development Specialist in planning event details and other aspects.
  9. Other duties as assigned.

Qualifications:

  1. Experience working in a professional office environment.
  2. Adept verbal and written communication, spelling, and composition skills.
  3. Proficient in Microsoft Office with the ability to learn new computer programs as needed.
  4. Professional demeanor in-person and over the phone, especially with clients in crisis.
  5. Ability to manage time effectively and work independently, completing assigned tasks in a timely manner.
  6. Ability to be flexible with time schedule depending on the needs of the agency, including occasional weekends and evenings.
  7. Must possess a current, valid Driver’s License with a clean driving record, and be able to pass local, state, and federal background checks.
  8. Provide technical assistance/training to staff and volunteers using office equipment as needed.   
  9. An ability to communicate with people from a variety of cultural and socioeconomic backgrounds.
