JOB DESCRIPTION

 

Job Title: Administrative Apprentice  

Department: Alaska’s People

Reports To: Apprentice Coordinator 

Supervises: None

FLSA Status: Non-Exempt

Pay Grade: N3

Job Type: Temporary 

 

NOTE: Due to 477 funding, the selected applicant must be American Indian or Alaska Native.

 

General Functions:

CITC’s Apprenticeship Program is intended to build organizational leadership capacity through holistic training, development and coaching. The main function of this position is to obtain on the job training as an Administrative Assistant in a professional environment for progressive career development.  The Apprentice will be actively engaged in training, development and mentorship. This position requires a willingness to learn, engage with CITC management and partner organizations, excellent communication, customer service skills, strong work ethic and positive attitude.

 

Duties and Responsibilities: 

  • Provide a professional and high level of customer service when answering incoming calls, email inquiries, and greeting guests
  • Embodies behavior and work ethic centered on CITC values (Respect, Interdependence, Accountability, Resilience, and Humor).
  • Maintains office machines and works with vendors for supplies. Serve as key operator for the copier, printer, and mailing postage machine.
  • Assists with maintaining database, electronic files, and department calendar. 
  • Create check requests, purchase requisitions, and credit card reconciliations.
  • Schedule and coordinate department-related meetings/events.
  • Prepare communications, such as memos, emails, invoices, reports and other correspondence.
  • Oversee and achieve organizational goals while upholding best practices.
  • Receive, prioritize, and distribute all incoming communication (telephone, email, mail, etc.). 
  • Maintains confidentiality at all times while displaying a professional disposition.
  • Ensure workspace is clean, well-supplied, and office equipment is in good working order and supplied at all times. 
  • Assists department staff with day-to-day operations, administrative duties, and special projects.

 

Job Specifications:

  • Learn and understand CITC’s mission, vision, strategic focus areas including CITC’s ThriveAbility Plan and incorporate knowledge into daily activities.
  • General knowledge and understanding of the social, health, educational, training, and cultural needs of the Alaska Native and American Indian community.
  • Effective oral and written communication skills; ability to effectively present information and respond effectively and sensitively to questions from staff of CITC and their partners.
  • Good interpersonal and public contact skills; ability to work effectively and cooperatively with all levels of management and staff of CITC and affiliated-company employees; exhibit a professional manner in dealing with others.
  • Good organizational skills; ability to think strategically, problem solve and exercise good judgment. 
  • Work independently as well as on a team and with minimal supervision.
  • Work well under pressure and prioritize workload.
  • Proficient using Microsoft Office products such as Word, Excel, and Outlook.
  • Reflect a high degree of sensitivity regarding confidential information.
  • Ability to make sound decisions and exercise good judgement.
  • Ability to work independently and with minimal supervision while maintaining attention to detail.

Minimum Qualifications:

  • Must be eighteen (18) years of age or older and have a High School Diploma or GED equivalent.
  • Continued employment is contingent upon satisfactory completion of state and federal background check.

 

Preferred Qualifications:

  • Prior customer service experience. 
  • Demonstrated knowledge and understanding of the social, health, educational, training, and cultural needs of the Alaska Native and American Indian community.
  • Three years’ experience in an AK Native Corporation or AK Native Non-profit setting and/or organization serving AN/AI people strongly preferred.
