Job Summary: The incumbent is Responsible for scheduling of all appointments, procedures, registration activities, gathering and processing demographic and insurance information. Incumbent will provide exemplary customer service to all callers, as well as prepare all patients for their scheduled appointment. The number one job responsibility is to deliver the most remarkable patient experience, in every dimension, every time, and understand how he or she contributes to the health system's vision of achieving that commitment to patients and families.

Adhere to the TCC Ch'eghwtsen' model of service and guiding principle which requires providing timely and effective service along with the ability to interact with others in a way that inspires trust and demonstrates respect, compassion and empathy.

Representative Duties: Under the general supervision of the Central Scheduling Manager job incumbent will:

1. Schedule, cancel, reschedule and register outpatient visits and procedures, by collecting all necessary information for schedule and registration preparation.

2. Ensure appointment requests are addressed in a timely, efficient, and knowledgeable manner.

3. Comply with clinical, legal and regulatory requirements.

4. Process patient demographic and insurance information.

5. Assist patients and/or physicians w/scheduling multidisciplinary outpatient appointments through a quick, but thorough scheduling and registration process that ensures maximum patient satisfaction.

6. Work with various care teams to help patients get connected to the services they need in the shortest amount of time possible.

7. Ensure that incoming phone traffic related to patient services is routed and followed up on appropriately, and that all patients receive warm handoff to teams as appropriate.

8. Comply with; and reduce billing/insurance problems to guarantee maximum and timely reimbursement.

Minimum Qualifications:

1. High School Diploma or GED.

2. Minimum of three years of healthcare experience. (reception, billing, health information).

3. Minimum of 1 year scheduling experience preferred.

4. Electronic Health Record experienced preferred.

5. Must pass background check pursuant to federal Indian Child Protection and Family Violence Prevention Act requirements.

6. Aptitude and interest in constantly seeking ways to improve the customer experience.

7. Possess engaging, customer-centric skills and ability to communicate effectively with people at all levels of the organization.

8. Excellent computer, analytical and research skills. Advanced proficiency with MS Office applications (Word, Excel, PowerPoint).

9. Ability to learn new software & hardware systems efficiently.

10. Exceptional written and verbal communication skills.

11. Ability to multitask and operate within a dynamic, fast-paced environment.

12. Proven ability to research and resolve problems.

13. Possess the ability to work independently and as a team.

14. Exhibit strong organizational skills and attention to detail.

15. Eagerness and positive attitude.

16. A commitment to the values of the organization while demonstrating good judgment, flexibility, patience and discretion when dealing with confidential and sensitive matters.

17. Familiarity with medical terminology and medical procedures.

18. Must be dependable, prompt, motivated, and able to work under minimum supervision.

Supervision: This position has no supervisory responsibilities.

Physical demands: Position is mostly sedentary. May be exposed to contagious disease. May deal with highly emotionally or disturbed patients. Some standing, bending, lifting, pulling, and pushing when assisting with patient care. Must be able to work effectively in a busy, sometimes stressful environment.

Summation: Patients served are predominately Alaska Natives/American Indians, cultural sensitivity should be exercised. Position requires innovation, ability to envision how to change processes and procedures to increase effectiveness and efficiency. Ability to work under pressure and meet deadlines.
