The Village Clinic Office Specialist provides essential administrative support to ensure efficient clinic operations and coordinated patient care in Ouzinkie. This role serves as the primary point of contact for patients and visitors, supporting registration, scheduling, referrals, and travel coordination. The position plays a key role in enhancing access to care, maintaining accurate records, and delivering excellent customer service in a rural healthcare setting.

  • Provides exceptional customer service to patients, families, staff, and community members in alignment with KANA's mission and values
  • Maintains strict confidentiality and compliance with HIPAA, Privacy Act requirements, and KANA policies
  • Greets and assists patients, visitors, and callers in a professional and courteous manner; directs inquiries appropriately
  • Serves as the primary point of contact for patient scheduling, care coordination, and appointment reminders; identifies and helps address barriers to care
  • Completes accurate patient registration, including verification of demographic, financial, and insurance information in the electronic health record system
  • Screens patients for eligibility for alternative resources and assists with enrollment in programs such as Medicaid, Medicare, WIC, Denali KidCare, and VA benefits
  • Coordinates with Purchased and Referred Care (PRC) to support patient referrals and eligibility for specialty services
  • Assists with patient travel coordination, including securing transportation, lodging, and required authorizations for medical travel
  • Ensures timely communication of updated registration and billing information to KANA Patient Services
  • Maintains clinic schedules, calendars, and community postings for provider visits and health events
  • Manages incoming phone calls, messages, and patient portal communications; routes appropriately and responds in a timely manner
  • Maintains accurate logs, records, and reports in compliance with AAAHC accreditation standards
  • Monitors clinic and office supply levels; orders and restocks inventory to support daily operations
  • Ensures the clinic environment remains clean, organized, and operational, including basic equipment oversight
  • Provides administrative support within the clinic, including patient screening and assistance with care coordination as needed
  • Assists with patient transportation when necessary, including use of clinic or personal vehicle in accordance with policy
  • Performs errands such as mail and supply pickup and assists with transport of providers and visitors
  • Participates in travel for training and required meetings in Kodiak, surrounding communities, or off-island locations

Qualifications

  • High school diploma or equivalent required
  • Experience in administrative support, healthcare, customer service, or office operations preferred
  • Knowledge of medical office procedures, patient registration, and insurance processes preferred
  • Familiarity with HIPAA and patient confidentiality standards preferred

Work Schedule

KANA's standard work schedule is 37.5 working hours per week, typically consisting of 7.5 paid working hours per day plus a one-hour unpaid lunch break (total of 8.5 hours on site per day).
