JOB SUMMARY:
The Student Administrative Assistant provides support across a variety of technical and administrative functions to ensure efficient and effective office operations. This position requires initiative, a positive attitude, professionalism, and a willingness to learn in a collaborative team environment. Assignments are deadline-driven; therefore, the incumbent must be able to prioritize tasks, take ownership of projects, work efficiently, and consistently deliver high-quality work in a fast-paced environment.

 

ESSENTIAL FUNCTIONS:

  • Greets and welcomes visitors and directs them to the appropriate location or personnel.
  • Maintains office directories and contact lists.
  • Picks up and distributes mail daily.
  • Receives and distributes packages and certified deliveries.
  • Maintains personnel tracking calendars.
  • Maintains vehicle tracking calendars.
  • Maintains field telephone/Wi-Fi tracking calendars.
  • Schedules conference rooms and assists with meeting setup.
  • Orders and stocks office supplies.
  • Orders and stocks kitchen supplies.
  • Serves as the point of contact for office equipment operations and maintenance.
  • Assists with travel requests and coordination.
  • Schedules and tracks employee training and certifications.
  • Provides expediting support as required.
  • Assists with the preparation of expense reports.
  • Assists with credit card reconciliations.
  • Supports invoice processing, including scanning, filing, and maintaining hard copy and electronic records.
  • Assists Project Managers in preparing for fieldwork activities.
  • Creates job boxes with required project documentation.
  • Assists Project Managers with ordering and expediting field supplies.
  • Works in a constant state of alertness and performs duties in a safe manner.
  • Performs other duties as assigned.

 

SUPERVISORY RESPONSIBILITIES:
This position does not have any supervisory responsibilities.

 

KNOWLEDGE, SKILLS, & ABILITIES:

  • Working knowledge of administrative and basic accounting functions.
  • Proficiency in Microsoft Office Suite applications.
  • Ability to work effectively in a team environment.
  • Ability to communicate professionally and effectively with employees, business partners, and clients through verbal and written communication.
  • Ability to complete tasks assigned verbally or in writing and effectively manage time and priorities.
  • Ability to manage multiple tasks and competing deadlines simultaneously.
  • Ability to safely and efficiently operate a motor vehicle for the delivery of confidential documents or sensitive materials.
  • Ability to work effectively in an Alaska Native Corporation multi-business environment.

 

MINIMUM QUALIFICATIONS:

  • High School Diploma or equivalent required.
  • Current enrollment in an accredited college or university degree program required.
  • Six (6) months of experience in an office environment preferred.
  • Valid state driver’s license and qualified to operate a vehicle under the conditions of the Company’s Driving Policy.
  • Ability to pass drug, driving, background, and reference checks.

 

WORKING ENVIRONMENT:

Brice Inc’s office team has a fast-paced, multi-tasking, customer service-oriented environment requiring a high degree of efficient and effective performance.  Adaptability regarding schedule and task changes is necessary to accommodate changing priorities.
