UAF CLA Administrative Assistant - Art Department

University of Alaska Fairbanks

The UAF College of Liberal Arts, Department of Art, is seeking a dynamic Administrative Assistant to support our active academic department. This is a full-time, 9-month position during the academic year (August-May), with summers off contract-an excellent opportunity to enjoy Alaska's best season while contributing meaningfully to campus during the fall and spring semesters. If you're organized, service-oriented, and excited to support students, faculty, and the arts community, we encourage you to apply.

The Art Department is a vibrant academic unit offering studio art, design, art history, and community-engaged creative programs. This position contributes directly to the success of students and faculty by ensuring timely administrative support, effective communication, and efficient coordination of departmental activities.

The Administrative Assistant provides essential administrative, academic program, and fiscal support in a fast-paced, student- and faculty-centered environment. This position is often the first point of contact for students, faculty, staff, and the public, and plays a key role in ensuring smooth departmental operations, compliance with university processes, and high-quality customer service.

The ideal candidate will have progressively responsible administrative experience in an academic, arts, or public service environment, demonstrating strong organizational, communication, and customer service skills. To thrive in this role, you should feel comfortable managing a variety of tasks throughout the day and enjoy supporting students, faculty, and visitors. Strong organization, clear communication, and a service-focused approach will help you succeed. You should be confident handling email, calendars, and documentation while maintaining confidentiality and accuracy.

Experience supporting hiring processes, monitoring expenditures, reconciling ProCard transactions, and maintaining fiscal records will serve you well. You'll use tools such as Microsoft Office, Google Workspace, and-ideally-university systems like Banner or JPMorgan PaymentNet. Experience with course scheduling, departmental events, or academic program coordination is highly desirable. Above all, success in this role requires adaptability, collaboration, and a positive, solutions-focused mindset in support of the Art Department.
