General Functions:

The Data Coordinator is responsible for collecting, managing, analyzing, and reporting data for Youth Education to support department data goals. This role ensures data accuracy, consistency, and accessibility across systems, while providing insights that inform decision-making and compliance requirements. The Data Coordinator works closely with program staff, leadership, and external partners to maintain data integrity and streamline reporting processes, in addition to training staff in data reporting processes.

 

Duties and Responsibilities:

  • Collect, enter, and maintain accurate data across multiple systems and databases, using automated tools when appropriate.
  • Ensure data integrity through regular audits, error correction, and data cleaning processes.
  • Maintain and update existing databases and reporting systems.
  • Conduct data reviews to assess quality and accuracy; share findings to support program improvements.
  • Demonstrate strong mathematical and problem-solving skills with excellent accuracy and attention to detail.
  • Work with program staff, Managers, and CITC’s data analysis to ensure consistent data entry and reporting.
  • Work with external program evaluation teams on data related projects and questions.
  • Develop a data calendar to track and prepare for report deadlines, and other important dates regarding data collection and reporting.
  • Provide support and training to staff on data entry and reporting best practices quarterly or as needed.
  • Support the development of forms and surveys as needed by Dept. Programs.
  • Prepare reports and basic dashboards to communicate data to staff, management, and stakeholders.
  • Develop processes for reporting, maintaining, and pulling data, in addition to any other processes related to the role's responsibilities.
  • Participate in participant events to assist with data entry, surveys and or enrollment processes.
  • Other duties as assigned.

Job Specifications:

  • Proficiency with data management tools such as Microsoft Excel, Smartsheets, Google Sheets, and other database systems.
  • Knowledge of data reporting tools and experience preparing clear reports and presentations for diverse audiences.
  • Strong communication skills (verbal and written), with the ability to explain data findings to non-technical staff and participants.
  • Ability to work independently and in group settings, demonstrating flexibility and adaptability.
  • Ability to take initiative and present ideas for improving data collection processes and reporting systems.
  • Collaborative mindset and ability to work effectively across departments and with diverse teams.

Minimum Qualifications:

  • Associate’s degree in information technology, data science/analytics, or related field. Relevant experience may be substituted for the education requirement on a year-for-year basis.
  • Two (2) years working in a Data Support and/or administrative support role.
  • One (1) year working with a large electronic database system.
  • Continued employment is contingent upon completion of a satisfactory state and federal fingerprint criminal background check.

Preferred Qualifications:

  • Bachelor’s degree in information technology, data science/analytics, or related field.
  • Background in grant reporting, compliance requirements, or performance management frameworks.
  • Familiarity with database design, data models, and techniques for ensuring data quality and integrity
  • Experience developing staff training materials, workshops, or guides related to data processes and reporting.
  • Prior experience in nonprofit, government, or education sectors (if that aligns with your organization)
  • Knowledge and understanding of the social, health, educational, training, and cultural needs of the Alaska Native/American Indian community.
  • Experience working with social services data
  • Experience working in a non-profit setting

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

• May require prolonged periods of sitting at a desk and consistently working on a computer with repetitive motion.

• The need to occasionally move around the office to access filing cabinets, storage cabinets, and office equipment may be necessary.

• Must be able to lift up to 25 pounds occasionally by utilizing proper lifting techniques and working in a safe manner.
