SHAREHOLDER RECORDS MANAGER

Reports to: Director of Regional
Status: Regular, Full-time, Exempt
Location: Anchorage, AK

JOB SUMMARY: The Shareholder Records Manager is responsible for the overall management of shareholder services for The Aleut Corporation (Aleut). The Shareholder Records Manager performs and oversees all functions related to shareholder records team while observing strict confidentiality of all matters.

PRIMARY RESPONSIBILITIES

• Embraces the values of Aleut including honesty, integrity, accountability, respect, and perseverance.

• Ensures services team maintains accurate shareholder records in compliance with ANCSA as well as TAC policies and procedures.

• Responsible for Aleut’s shareholder records and information management systems to include paper and electronic filing.

• Partners with Administration regarding cross training and communication between teams.

• Ensures the Shareholder Records Department maintains accurate shareholder and descendant enrollment through timely transfer of shares and settlement of estates.

• Maintains and grows Aleut’s shareholder services.

• Ensures shareholder needs and concerns are properly and respectfully addressed.

• Increases effectiveness of services provided to shareholders.

• Identifies, develops, and implements strategies to improve communication with shareholders.

• Serves as the contact and liaison between the Shareholder Records and Shareholder Relations teams.

• Responsible for implementation, evaluation, and revision recommendations for shareholder and descendant related policies and procedures.

• Supports, tracks, and submits KPIs for Shareholder Records Department goals and initiatives.

• Responsible for training, mentoring, and supervising Shareholder Records Department employees. 

• Facilitates and provides regular communication and meetings with the Shareholder Records Department employees.

• Ensures appropriate coverage of phones, and shareholder services throughout the day.

• Maintains a working relationship with attorneys, bank officers, village and tribal corporations, and shareholders of the corporation.

• Develops and maintains a shareholder records manual.

• Documents shareholder rights, responsibilities, and records processes and utilize newsletters, webpages, and shareholder events to educate shareholders.

• Performs other duties as assigned.

• Maintain a high level of accuracy and attention to detail. 

• Possess strong analytical skills in order to review, evaluate, and synthesize information.

• Proficient in organizational and information management skills.

• Proficient use of Microsoft Office programs.

• Strong conflict resolution skills and ability to respectfully address shareholder and employee concerns. 

MINIMUM QUALIFICATIONS

1. Bachelor’s degree in business administration or related field; OR equivalent combination of experience, education, and training.

2. Five (5) years’ experience in related position.

PREFERRED QUALIFICATIONS

1. Experience supervising or managing a team.
