Summary:
Under general supervision, provides routine clerical support for assigned inpatient unit through scheduling, reception, records maintenance, coordination with other hospital clinics, and general assistance.
Responsibilities:
REPRESENTATIVE DUTIES
Answers phone calls, greets, and assists patients and clients. Completes daily and monthly reports. Schedules appointments and consults. Assembles patient teaching packets. Prepares and maintains patient hard chart, reverses and returns to medical records upon discharge. Provides appropriate Medical Admitting Residents (MAR’s) for admitting, discharge and transfers. Assists with grief support by requesting clergy and funeral home services. Updates unit census board with current patient data.
Provides routine support for assigned inpatient unit through scheduling, reception, records maintenance, coordination with other hospital clinics, and general assistance. Coordinates patient visits with other hospital clinics and departments. Arranges travel and housing for patients and families. Coordinates patient transfers and room assignments. Admits patients and assists them in completing necessary paperwork; registers patients on electronic databases.
Maintains forms and basic information on patient charts and electronic databases; creates charts for new patients. Enters patient care data for billing to outside providers. Orders charts, labs, and medical supplies and materials. Assists nurses with basic patient care.
Performs clerical duties, including mail delivery, faxing, copying and scanning. Produces and distributes department mailings. Assembles reports and informational or paperwork packets. Orders and restocks office and medical supplies. Trains medical support staff. Maintains payroll and timekeeping for assigned department.
Performs other duties as assigned.

KNOWLEDGE and SKILLS
· Knowledge of customer service concepts and practice.
· Knowledge of multi-line telephone systems operation.
· Knowledge of privacy laws and HIPAA regulations.
· Knowledge of basic medical terminology and clinic systems.
· Knowledge of applicable department procedures and practices within ANTHC, ANMC, SCF, and Transcare.
· Skill in operating a personal computer utilizing a variety of software applications.
· Skill in operating office equipment such as copiers and fax machines.
· Skill in maintaining and updating clinical schedules.
· Skill in establishing and maintaining cooperative working relationships with others.
MINIMUM EDUCATION QUALIFICATION
A high school diploma or GED equivalent.
MINIMUM EXPERIENCE QUALIFICATION
Non-supervisory - Two (2) years of administrative/clerical experience. An equivalent combination of relevant education and/or training may be substituted for experience.
PREFERRED EXPERIENCE QUALIFICATION
· Previous work experience in a hospital setting is preferred.
