Rural Operations Assistant

The Kuskokwim Corporation is hiring a Rural Operations Assistant for its location in Aniak, AK.  The Rural Operations Assistant will report to the Vice President of Operations. This position will work 5 days a week, 7 hours each day and is benefits eligible.

 

Administration

  • Greet visitors in a professional, friendly, and hospitable manner and aid those who are stopping by the office.
  • Answer phone calls in a professional manner and aid those who are calling. Distribute all messages to appropriate people.
  • Process all incoming and outgoing mail. Distribute all incoming mail.
  • Responsible for inventory of all office supplies and ordering.
  • Responsible for inventory of all kitchen and janitorial supplies and ordering.
  • Maintain and updates procedures for all general office tasks.
  • Maintain all records for building operations and use.
  • Reconcile monthly expenses.
  • Minimal office and training center cleaning as needed.
  • Assist with outreach efforts to Shareholders and with TKC communities.
  • Communicate monthly with TKC villages to update the council meeting calendar.
  • Work with villages to address Shareholder and community need, maintain a good working relationship and communication with our villages.
  • Attend in-region tribal gatherings with TKC Staff when necessary.
  • Help with special projects within TKC and villages if needed.
  • Respond to questions received from Tribal and City Governments and community members.
  • Research requests and provide customized information and assistance.
  • Assist Shareholder Records when needed including obtaining Shareholder wills, enrollment, address changes, contacting Shareholders, etc.  
  • Other duties as assigned.

 

Arviiq Training Center

  • Create forms for registration, attendance, follow-up with enrollees.
  • Assist with registration & intake of applications.
  • Maintain paper and digital records.
  • Coordinate with instructors for training needs.
  • Oversee successful planning and coordination of programs.
  • Prepare lodging facilities in Training Center.
  • Prepare equipment & assigned facility space.
  • Coordinate lodging, transportation, travel, and meals.
  • Assist with intake of Building Use Applications.
  • Invoice organizations for use of the facility space. Collect payments and reconcile accounts monthly to ensure payments are received.
  • Update and disperse the Arviiq Training Center calendar.
  • Share information regarding training opportunities at the center and outside of the region and share scholarship opportunities.
  • Communicate with Arviiq Program Director about any training programs, logistics, etc.
  • Responsible for inventory of training facility supplies, and order as needed.
  • Other duties as assigned.

 

Tribal Library

  • Create and use databases of library materials.
  • Organize library materials so they are easy to find.
  • Help library patrons to conduct research to evaluate search results and reference materials.
  • Research new books and materials by reading book reviews, publishers’ announcements, and catalogs.
  • Maintain existing collections and choose new books, videos, and other materials for purchase.
  • Research computers and other equipment for purchase, as needed.
  • Other duties as assigned.

 

Skills/Abilities

  • Understand TKC’s purpose, commitment and vision and incorporate knowledge into daily activities.
  • Maintain accurate physical and digital records.
  • Excellent oral and written communication skills, including proper telephone etiquette and thorough knowledge of proper grammar and spelling, vocabulary, composition, and proofreading and editing skills.
  • Ability to make independent decisions, solve problems, and exercise good judgement.
  • High degree of sensitivity regarding confidential information.

 

Minimum Qualifications

  • High school diploma or equivalent.
  • Understanding of TKC region Middle Kuskokwim communities and culture. 
  • Knowledge of computer systems, communication tools and software such as Windows, Excel, PowerPoint, and the Internet.
  • Excellent communication skills are required, both written and oral.
  • Ability to obtain and maintain a notary certificate.
  • Ability to obtain a valid driver’s license or bush license.
  • Ability to pass a background check.
