General Functions:

The Facilities Support Assistant position supports the Facilities Team which is responsible for responding to the day-to-day maintenance needs of CITC’s assets and facilities in the greater Anchorage area and Matanuska Valley, including building related systems, fleet maintenance, and grounds.

 

Duties and Responsibilities:

Facilities Support Assistant I:

  • Provide responsive and professional customer service to all CITC staff, participants, vendors, and key stakeholders.
  • Complete facilities work tickets as assigned.
  • Assist in the daily external and internal mail for CITC departments and affiliates as needed.
  • Assist in the fleet maintenance program for entire CITC fleet using fleet management system. Notify Supervisor when vehicles need service/repair.
  • Ensure all CITC vehicles are properly maintained, cleaned, and fueled for all CITC transport needs.
  • Complete daily start up activities, clear snow and move all CITC vehicles as needed during winter months. 
  • Support the daily set up of RCC conference rooms for scheduled meetings/events.
  • Perform all assigned duties following AKOSH and OSHA safety and health standards.
  • Immediately report any accidents, incidents, or traffic violations to supervisor and complete necessary paperwork.
  • Maintain confidentiality of CITC participants and staff following all applicable rules governing confidentiality, HIPPA and CFR 25.
  • Participate in scheduled internal and external meetings and trainings as directed.
  • Assist the Safety Officers, as needed.
  • Obey all Alaska traffic laws and maintain a clean driving record.
  • Assist in the moving and installation of CITC furniture and equipment.
  • Perform all other duties as assigned.

 

Facilities Support Assistant II:

  • Consistently perform all duties and responsibilities of a Facilities Service Assistant I with a higher level of proficiency.
  • Assist in the fleet maintenance program, including studded tire swaps, oil changes, transporting vehicles for service, and vehicle checks to make sure all documents and safety equipment are stocked and in order, for all CITC vehicles.
  • Assist with facilities related tasks as requested, e.g. purchasing, supply/parts runs, minor repairs, and facility upkeep.
  • Assist in scheduling and service of fleet using fleet management system.

 

Facilities Support Assistant III:

  • Consistently perform all duties and responsibilities of a Facilities Service Assistant II with a higher level of proficiency.
  • Coordinate the purchase and delivery of supplies from vendors.
  • Communicate with CITC Staff regarding fleets management.
  • Schedule, assign and check out fleet vehicles using fleet management system.

 

Job Specifications for All Levels

  • Continued employment is contingent upon satisfactory completion of state and federal background check.
  • Valid Driver’s License and insurable under CITC’s automotive insurance, which requires the driver to be at least 21 years of age.
  • Must have or be willing to obtain a First Aid Certification within six (6) months of hire.
  • Must be able to lift 60 pounds.
  • Effective problem-solving and analytical skills.
  • Effective time management skills and ability to organize and prioritize tasks and keep a schedule of daily activities.
  • Excellent interpersonal customer service skills and ability to work with people professionally.
  • Ability to understand and execute oral and written instructions.

  • Demonstrated knowledge and understanding of the social, health, educational, training, and cultural needs of the Alaska Native and American Indian community.
  • Maintain confidentiality of CITC participants and staff following all applicable rules governing confidentiality, HIPPA and CFR 25.

Minimum Qualifications:

Facilities Service Assistant I:

  • High school diploma or GED.

 

Facilities Service Assistant II:

  • Meets Facilities Service Assistant I qualifications.
  • Experience using basic hand tools and performing essential functions.
  • One year of experience working in facilities or related field.

 

Facilities Service Assistant III:

  • Meets Facilities Service Assistant II qualifications.
  • Two years of experience working in facilities or related field.
  • Proficient in the use of basic hand tools and performing essential functions.
