Security Administrative Assistant - Valdez, AK


REQUIRED QUALIFICATIONS

  • High school diploma or equivalent
  • Two (2) years of administrative, secretarial, or related experience
  • Advanced knowledge of computer related systems; i.e. SMS, Excel, and Word processing programs.
  • Valid Alaska Driver’s License

DESIRED QUALIFICATIONS

  • Three (3) years of administrative, secretarial, or related experience

ESSENTIAL FUNCTIONS

  • Typing, filing, and distribution of correspondence and other duties as directed
  • Answers the telephone efficiently, accepts, and routes messages accordingly
  • Maintains the work area in a clean, neat, and orderly condition
  • Ensures that all documents, reports, etc. are secured at close of business
  • Makes appropriate distribution of security reports MVA’s, security passes, and office correspondence
  • Maintains appointment schedules and plans/schedules meetings, conferences, and travel
  • Maintains inventories and orders supplies and expendable supplies as directed
  • Manages administrative functions for the security team
  • Maintains employee training and personnel files
  • Processes credit card reconciliations for the Valdez security managers
  • Ensures that payroll is prepared and submitted on a weekly basis
  • Maintains the Administrative Assistant Handbook
  • Disseminates information to the public as provided by Alyeska Public Affairs Office
  • Maintains employee emergency contact name roster and employee performance evaluations and up-training requirements.
  • Works processes for IT accounts for all new hires
  • Works with the Alyeska Security Manager on correspondence with the DHS and the U.S. Coast Guard (TWIC Program)
  • Willingness to perform other duties as required
  • Willingness to work at various locations as required

WORKING ENVIRONMENT
