General Function
In alignment with CIRI’s mission and values, provides high level administrative support to the senior leadership team. Responsible for ensuring company-wide administrative workflow needs are met. 

Major Activities (Typical Duties/Responsibilities) 

  • Works proactively with CIRI’s senior leadership team to align and facilitate expectations relative to CIRI’s administrative functions.
  • Provides high level administrative support to the executive team.
  • Directs administrative workflow to ensure work is distributed appropriately and available resources are utilized in an effective and efficient manner.
  • Coordinates with the Director, Corporate Affairs, to plan, develop and implement programs to promote community outreach programs in a positive and community-oriented way.
  • Develops and builds a wide range of community volunteer opportunities for CIRI staff.
  • Serves as a liaison with CIRI subsidiaries’ administrative teams.
  • Supervises a diverse staff actively, efficiently and effectively; performance management, annual employee appraisals, career development and goal setting, team building, staff planning and training.
  • Performs other duties as appropriate and as assigned.

Skills and Abilities

  • Understand CIRI’s mission, values and strategic focus areas and incorporate knowledge into daily activities.
  • Expert using Microsoft Office products, such as Word, Excel, SmartSheet and PowerPoint, and industry-standard computer software and databases.
  • Excellent written and verbal communication skills; thorough knowledge of proper grammar; advanced vocabulary, spelling, editing and proofreading skills.
  • Excellent interpersonal skills; ability to work effectively and cooperatively with all levels of management and staff, affiliated-company employees as well as outside business associates; exhibits a professional manner in dealing with others.
  • Excellent leadership, supervisory, management and mentoring skills.
  • Superior organizational, follow-up and detail-oriented skills.
  • Ability to maintain accurate records and to prepare and submit comprehensive reports.
  • Ability to efficiently and effectively supervise staff, including completing performance evaluations and career development.

  • Work well under pressure and independently prioritize workload, while working on multiple projects.
  • Ability to research, organize and analyze technical information with particular attention to accuracy and detail.

Physical Abilities

  • Must possess sufficient fine motor skills for use of computers and calculators with an ability to withstand repetitive keyboarding for extended periods of time.
  • Must be able to sit for extended periods of time.
  • Must be able to kneel, bend and twist at the waist on an occasional basis.
  • Must be able to reach below shoulder height with regular frequency (desk position) and at or above shoulder height on occasion.
  • Must be able to push, pull, carry and lift objects weighing up to 20 pounds on a regular basis, and greater weights on an occasional basis.

Minimum Experience

Associate degree in Business, five years’ experience supporting senior executives; or any combination of education, training and/or experience that provides the required skills, knowledge and abilities. Supervisory experience required.
