Position Summary:

The UA Foundation seeks an individual to serve as Stewardship Manager. This position is a member of the five-person Fund & Gift Services team that is located in Anchorage and Fairbanks. The Stewardship Manager coordinates the management of funds held at the Foundation that support the University of Alaska and its universities. In addition to drafting paperwork for new funds created by donations, revising funds, maintaining fund records, and closing funds; the Stewardship Manager also works with departments on spending these funds, provides gift processing assistance, and impact reporting and acknowledgment assistance. The University of Alaska Foundation acts as a service center to all three Universities (Fairbanks, Anchorage, and Southeast) supporting fundraising activities of University Development offices. The mission of the UA Foundation is to seek, secure and steward philanthropic support to build excellence at the University of Alaska. A legally separate organization from the University of Alaska, the Foundation is governed by a volunteer board and is managed by a President who also serves as the University's Chief Development Officer and an Executive Director/Associate VP for Development. The values of the Foundation staff are trust, excellence, service and teamwork. This position can be filled in Anchorage or Fairbanks.

Duties:

FUND AGREEMENT MANAGEMENT Act as primary liaison between the UA Foundation and the campus Development Offices in the creation of Foundation fund agreements in consultation with the campus Development officers, Director of Annual Giving, donors and university departments. Construct fund agreements that legally govern the use of donations, including cash and in-kind gifts. Provide consultation and guidance regarding fundraising best practices following Board of Regent policy to internal and external community. Monitor donation holding accounts for regular expenditures, and as balances grow and transfer into new funds. Work with major and annual giving managers when finalizing gifts with donors. Answers donors' questions relevant to Foundation management and fund spending and investment process.

FUND UTILIZATION Work with the Foundation and campus Development Office to plan and conduct both informal and formal training for campus departments regarding Foundation reports, fund expenditures and Foundation policies and procedures. Assist the Foundation Donor Relations team in the creation and implementation of a training program with appropriate collateral materials for University personnel that clearly defines the gift distribution process, in order to assure greater understanding of and satisfaction with said process. Conduct regular training sessions for end users. Serve as primary contact for UA departments to provide information regarding private Foundation funds. Facilitate quarterly fund report information and interpretation for deans and fund users. Regularly query Raiser's Edge and Financial Edge to produce Balance Sheets and Project Activity Reports for departmental use. Assist the campus development offices in enabling university departments to use UA Foundation funds for their benefit by assisting them with the processing of paperwork for matching gifts, reimbursements, fund transfers, etc. Monitor fund balances to ensure availability and best use. Maintain accurate and current fund records.

PROJECT MANAGEMENT AND ADMINISTRATIVE SUPPORT Provide project management expertise in various donor relations, stewardship, annual giving/giving day, and fund management arenas. Provide gift processing and logistical/administrative support for Foundation Donor Relations and Fund and Gift Services. Implements special projects and activities (searches computer records, gathers data, compiles information, etc.) to ensure accurate record keeping. Other duties as assigned.

STEWARDSHIP Coordinate with Foundation Data Services to produce reports for gifts, donors, alumni, and funds from Raiser's Edge database and the general ledger accounting system at the UA Foundation. Support interaction with a variety of campus groups at all leadership levels to create effective methods to implement systems of fund stewardship across all university departments in order to ensure funds meet donor intent. Responsible for routine interface with current and potential donors. Coordinate impact reporting to external parties (donors). Supports acknowledgment and specialty letter processing. Draft acknowledgements and correspondence for donors in response to general inquiries. Create communication entries into the Raiser’s Edge database (actions and contact reports) and submit requests to the UA Foundation for fund and donor updates.

KNOWLEDGE, SKILLS, ABILITIES:

  • Ability to understand development process as it relates to the management of a sophisticated database system.
  • Ability to understand UA Foundation policies and procedures.
  • Ability to understand grants and contract procedures.
  • Ability to understand fundraising strategies for the various forms of gift giving and campaigns.
  • Sound knowledge of IRS Regulations, CASE Standards and other National Reporting.

REQUIRED EXPERIENCE:

Two years of administrative, financial experience, development or database
experience.

REQUIRED EDUCATION OR TRAINING:

Associate's Degree required, Bachelor's degree or equivalent preferred.

SALARY INFORMATION:

This is a full-time, 12-month, non-exempt staff position complete with both a competitive salary and full employee benefits package. New hires will be placed on the UA staff salary schedule, Grade 78, based on education and experience.
