Job Description

IAC is currently in search of a full-time Human Resources Specialist to act as a conduit for human resources-related questions, conduct new hire orientations and maintain human resources-related files. The HR Specialist acts as an administrator for insurances, maintains job descriptions and coordinates the posting of job ads with the Administrative Assistant, prepares and presents annual trainings. This position will also maintain the volunteer program to include coordinating with supervisors, maintaining volunteer records, required reporting, and updating manuals as needed.

Responsibilities

  • Be responsible for required deadlines for HR-related paperwork

Human Resources Functions

  • Act as a conduit for human resources related questions
  • Payroll processing to include timesheet reviews, input bi-weekly payroll into
  • QuickBooks and online banking platform and file all related payroll records
  • Process payments for biweekly payroll-related liabilities to include payroll taxes, insurance payments, and retirement contributions
  • Schedule and conduct new hire orientation with newly hired staff
  • Maintain personnel files, medical files, I-9 files, and related documentation
  • Maintain current personnel manual
  • Act as administrator for health insurance, dental insurance, life insurance, and retirement
  • Maintain job descriptions and recruitment files
  • Coordinate with the Admin Assistant to post job ads with appropriate outlets and agencies for all programs
  • Complete quarterly state and federal payroll reports, annual W-2’s and 1099’s
  • Prepare annual evaluations to include disbursing, collecting, tracking, and filing
  • Conduct, schedule, and track training verifications to include CPR/First Aid, Child
  • Abuse and Neglect, Civil Rights Training, New Hire Training, and other training as needed
  • Track employee raises, leave increases, and retirement eligibility to include associated paperwork
  • Maintain payroll related files and binders in an organized, secure, and confidential manner
  • General office filing, clerical duties, and light cleaning duties as needed
  • Other duties as assigned by the Finance Director

Volunteer Program Functions

  • Maintain volunteer handbook and job descriptions
  • Coordinate with supervisors to determine volunteer needs
  • Maintain records on agency volunteers for all programs
  • Make recommendations to the Finance Director on policy revisions regarding the volunteer program
  • Update all training manuals for the Volunteer Program

Minimum Qualifications

  • Associates Degree in Applied Business Management or closely related field; job experience may be used in lieu of education
  • Prior knowledge of human resources theories, functions, protocols, and laws
  • One year of QuickBooks experience specifically in reporting and payroll processing
  • Three years of experience in Word for Windows, Excel, and data entry
  • Ability to multi-task and work under pressure for project deadlines
  • Excellent interpersonal, group, and written communication skills
  • Ability to work with people from diverse backgrounds, cultures, and lifestyles
  • Ability to pass a background check
  • Commitment to the agency’s mission and goals

Preferred Qualifications

  • Bachelor’s Degree in Human Resources or Business Administration or closely related field
  • Three years of experience using QuickBooks specifically in reporting and payroll processing using QuickBooks
  • Three years of experience in human resources documentation

Supervision: Directly responsible to the Finance Director

Hours: Monday-Friday, 9:00 a.m. – 5:00 p.m.

Salary: Range 25 Non-exempt / $24.00 per hour DOE
